Job Summary
The Commercial Executive is responsible for managing procurement activities, vendor coordination, purchase orders, invoice verification, commercial documentation, and ensuring timely availability of materials and services required for business operations. The role involves coordination with suppliers, accounts, stores, and various internal departments to ensure smooth commercial processes and cost-effective procurement.
Key ResponsibilitiesProcurement & Vendor Management
- Source and evaluate vendors for materials, services, and equipment.
- Obtain and compare quotations from multiple suppliers.
- Negotiate prices, payment terms, and delivery schedules.
- Prepare and issue Purchase Orders (POs).
- Maintain vendor database and supplier performance records.
- Develop and maintain strong relationships with vendors.
Commercial Operations
- Process purchase requisitions and ensure timely procurement.
- Track orders and follow up on deliveries.
- Verify invoices against purchase orders and goods received.
- Coordinate with accounts for timely vendor payments.
- Maintain records of contracts, agreements, and commercial documents.
- Ensure compliance with company procurement policies.
Inventory & Coordination
- Coordinate with stores and production teams regarding material requirements.
- Monitor stock levels and initiate procurement accordingly.
- Assist in inventory planning and cost optimization.
Documentation & Reporting
- Prepare MIS reports related to procurement and commercial activities.
- Maintain accurate records of purchases, quotations, and vendor communications.
- Generate monthly procurement and cost-saving reports.
- Support internal and external audits by providing required documents.
Required Qualifications
- Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, or related field.
- 2–5 years of experience in Commercial, Procurement, Purchase, or Supply Chain functions.
- Experience in manufacturing industry preferred.
Required Skills
- Strong negotiation and vendor management skills.
- Knowledge of procurement processes and commercial documentation.
- Good understanding of GST, invoices, purchase orders, and payment procedures.
- Proficiency in MS Excel, ERP/SAP systems, and Microsoft Office.
- Strong analytical and problem-solving abilities.
- Excellent communication and coordination skills.
- Attention to detail and ability to work under deadlines.
