Job Summary
We are looking for a detail-oriented and organized Admin & Operations Executive to support the day-to-day administrative and operational activities of our mobile crane rental business. The ideal candidate will be responsible for employee administration, fleet documentation, fuel management records, vendor coordination, quotation preparation, and maintaining operational records to ensure smooth business operations.
Key Responsibilities :
Human Resources & Employee Administration
- Maintain daily employee attendance records.
- Prepare monthly salary calculations and attendance summaries.
- Calculate employee allowances, overtime, and other applicable benefits.
- Coordinate employee insurance renewals and maintain employee insurance records.
- Maintain employee-related documentation and records.
Operations & Fleet Administration
- Update and maintain the daily order book for crane deployment.
- Maintain fuel consumption logs for all equipment and vehicles.
- Monitor fuel sensor data and identify discrepancies.
- Raise support tickets for fuel sensor issues and coordinate follow-ups until resolution.
- Monitor fuel theft alerts and prepare fuel variance/theft reports for management.
- Maintain operational MIS reports and daily records.
Vendor & Accounts Coordination
- Record vendor invoices and payment entries in company records.
- Follow up with vendors for pending invoices and supporting documents.
- Submit verified vendor bills to the Accounts Department for processing.
- Maintain payment records and perform invoice/payment reconciliation.
Vehicle Documentation & Compliance
- Track validity of vehicle and crane-related statutory documents.
- Coordinate timely renewal of RTO documents, permits, fitness certificates, insurance, pollution certificates, and other regulatory documents.
- Maintain an updated compliance tracker for the fleet.
Sales Administration
- Prepare customer quotations based on operational requirements.
- Respond to basic customer queries related to quotations and pricing.
Purchase Administration
- Prepare POs as per instructions from the Purchase Executive.
General Administration
- Maintain organized physical and digital records.
- Prepare operational reports and documentation as required.
- Coordinate with internal departments for smooth workflow.
- Perform other administrative and operational tasks assigned by management.
Required Skills
- Good knowledge of Microsoft Excel, Word, and Outlook.
- Strong numerical and record-keeping skills.
- Good communication and coordination abilities.
- Ability to handle multiple tasks and meet deadlines.
- Attention to detail and problem-solving skills.
- Basic understanding of payroll processing and vendor coordination.
- Familiarity with ERP software or Tally is an added advantage.
Preferred Qualifications
- Bachelor's degree in Commerce, Business Administration, or a related field.
- 3–5 years of experience in Administration, Operations, Logistics, Transport, Equipment Rental, or Construction industries.
Pay: ₹20,764.41 - ₹30,000.00 per month
