The Export Documentation Executive is responsible for preparing, reviewing, and managing all export-related documentation to ensure compliance with international trade regulations, customer requirements, and company policies. The role involves coordinating with freight forwarders, shipping lines, customs agents, inspection agencies, certification authorities, and internal departments to facilitate smooth export operations.
Key Responsibilities
Prepare and verify export documents, including:
- Commercial Invoice
- Packing List
- Shipping Bill
- Bill of Lading (BL)
- Air Waybill (AWB)
- Certificate of Origin (COO)
- Generalized System of Preferences (GSP) Certificate / Certificate of Origin under applicable preferential trade agreements
- Health Certificate / Sanitary or Phytosanitary Certificate (as applicable)
- Insurance Certificate
- Inspection Certificates
- Letter of Credit (LC) documentation
- Ensure compliance with customs regulations, DGFT guidelines, importing country requirements, and international trade regulations.
- Coordinate with freight forwarders, shipping lines, airlines, and transporters.
- Prepare and submit documentation required for customs clearance and shipment processing.
- Communicate with overseas customers regarding shipment schedules and document dispatch.
- Resolve documentation discrepancies and shipment-related issues promptly.
