JOB & ROLE DESCRIPTION Production & Material Planning Supervisor Department: Production Planning & Material Management Designation: Production & Material Planning Supervisor Reporting To: Plant Head / Production Manager Location: Manufacturing Plant Employment Type: Full Time 1. Job Purpose The Production & Material Planning Supervisor is responsible for planning, coordinating, and monitoring production activities to ensure that customer requirements are achieved on time with optimum utilisation of manpower, machines, materials, and other resources. The role will coordinate closely with Production, Purchase, Stores, Quality, Maintenance, Dispatch, and Management to ensure smooth production flow and timely delivery. --- 2. Key Responsibilities A. Production Planning - Prepare daily, weekly, and monthly production plans based on customer requirements and available capacity. - Convert customer schedules/forecasts into practical production plans. - Plan production according to machine capacity, manpower availability, tooling, fixtures, and process requirements. - Monitor actual production against planned production. - Identify production shortfalls and take corrective action. - Prioritise production based on customer urgency, delivery commitments, and material availability. - Coordinate with production supervisors to ensure adherence to the production plan. - Maintain production targets and achievement records. - Review bottlenecks and constraints affecting production. - Prepare daily production status reports for management. B. Material Planning - Prepare material requirements based on production plans, BOMs, stock levels, and customer schedules. - Ensure timely availability of raw materials, bought-out items, consumables, tooling, fixtures, and other production requirements. - Monitor material shortages and communicate requirements to Purchase/Stores. - Track pending purchase orders and expected material delivery dates. - Coordinate with Purchase to expedite critical materials. - Monitor material stock against production requirements. - Identify excess, slow-moving, and shortage materials. - Ensure material availability before releasing production plans. - Maintain a material shortage and follow-up tracker. C. Production & Material Coordination - Coordinate between Planning, Purchase, Stores, Production, Quality, Maintenance, and Dispatch. - Ensure production plans are aligned with actual material availability. - Avoid unnecessary production stoppages due to material shortages. - Communicate changes in customer requirements to concerned departments. - Re-plan production when there are changes in demand, material availability, machine breakdowns, quality issues, or manpower shortages. - Ensure critical issues are escalated to management on time. D. Capacity Planning - Monitor machine-wise and process-wise production capacity. - Prepare capacity plans based on current and future customer requirements. - Identify capacity constraints and bottlenecks. - Coordinate additional shifts, overtime, manpower, subcontracting, or alternate processes where required. - Support management in evaluating requirements for additional machines, manpower, tooling, fixtures, and infrastructure. E. Inventory Control - Monitor raw material, WIP, finished goods, and bought-out component inventory. - Maintain optimum inventory levels to support production without unnecessary excess stock. - Coordinate with Stores for accurate stock information. - Monitor material consumption against BOM/norms. - Identify material variance and abnormal consumption. - Support periodic physical stock verification. F. Customer Delivery Planning - Prepare production plans according to customer dispatch schedules. - Monitor order status from material availability through production and dispatch. - Ensure priority customer requirements are communicated to production. - Provide realistic delivery commitments based on capacity and material availability. - Highlight potential delivery delays in advance. G. ERP / Excel / Planning System - Maintain accurate planning data in ERP/Excel/MES or other company systems. - Update production plans, material status, order status, and delivery schedules regularly. - Maintain production planning and material tracking reports. - Develop and maintain planning dashboards and MIS reports. - Ensure data accuracy for management review. --- 3. Daily Activities The supervisor is expected to: 1. Review customer requirements and pending orders. 2. Check previous day's production achievement. 3. Review material availability and shortages. 4. Check machine and manpower availability. 5. Prepare/revise the daily production plan. 6. Communicate the plan to Production and concerned departments. 7. Monitor production progress during the day. 8. Follow up on material shortages and urgent purchases. 9. Track production delays and bottlenecks. 10. Coordinate with Quality, Maintenance, Stores, and Dispatch. 11. Update management regarding critical issues. 12. Prepare end-of-day production and material status. --- 4. Key Performance Indicators (KPIs) The performance of the Production & Material Planning Supervisor will be measured based on: - Production plan achievement: Target ≥ 90–95% - On-time delivery performance - Material availability for planned production - Production stoppages due to material shortage - Planning accuracy - Machine capacity utilisation - Inventory accuracy - WIP control - Reduction in excess/obsolete inventory - Timely identification of material shortages - Timely communication of production delays - Adherence to customer dispatch schedules - Accuracy and timeliness of MIS reports --- 5. Authority & Decision-Making The supervisor is authorised to: - Prepare and recommend daily/weekly production schedules. - Prioritise jobs within the approved customer requirements. - Coordinate production changes based on material and capacity availability. - Escalate material shortages and production constraints. - Request urgent material follow-up from Purchase. - Recommend overtime/additional shifts when required. - Recommend subcontracting or alternate production arrangements where approved. - Stop or reschedule planned production when critical material, quality, safety, or machine constraints exist, after informing the concerned manager. Major changes affecting customer commitments, purchasing, cost, or manpower shall be approved by the Plant Head/Management. --- 6. Required Qualifications Education: - Diploma / Bachelor's Degree in Mechanical Engineering, Production Engineering, Industrial Engineering, or equivalent. Experience: - 3–7 years of experience in production planning, PPC, material planning, or manufacturing operations. - Experience in fabrication, machining, welding, automotive, heavy engineering, or similar manufacturing industries preferred. --- 7. Core Responsibility The primary responsibility of the Production & Material Planning Supervisor is to ensure that the right material is available at the right time, the right job is planned on the right machine, and production is completed according to customer requirements and committed delivery schedules. The position requires daily follow-up, accurate planning, cross-functional coordination, and early identification of risks so that production and dispatch commitments are not affected.
