Job Summary
The HR Officer – Onboarding & Administration is responsible for managing the end-to-end onboarding process, employee documentation, HR administration, and day-to-day administrative operations. The role ensures a smooth joining experience for new employees, maintains accurate employee records, coordinates with internal departments, and supports the effective functioning of HR and administrative activities while ensuring compliance with company policies.
Roles & Responsibilities
- Manage the complete onboarding process for all new employees.
- Coordinate pre-joining and joining formalities with candidates and hiring managers.
- Prepare and issue Appointment Letters, Offer Letters, Internship Letters, Confirmation Letters, and other employment-related documents.
- Collect, verify, and maintain employee documentation and personal records.
- Create and maintain employee files in both physical and digital formats.
- Conduct employee induction and orientation sessions.
- Coordinate with IT and Admin departments for laptop allocation, email creation, ID cards, system access, software access, and other joining requirements.
- Ensure all onboarding checklists are completed within the defined timelines.
- Maintain and update the HRMS, employee database, and personnel records.
- Manage employee attendance records and coordinate attendance-related corrections.
- Maintain leave records and support payroll inputs as required.
- Ensure compliance with company policies, HR procedures, and statutory documentation requirements.
- Coordinate employee confirmations, probation reviews, and related documentation.
- Handle employee queries related to onboarding, documentation, HR policies, and administrative support.
- Coordinate issuance and maintenance of company assets, including laptops, ID cards, SIM cards, access cards, and other office resources.
- Maintain inventory records for HR and administrative assets.
- Coordinate office administration activities, including housekeeping, stationery, courier services, vendor coordination, meeting arrangements, and office maintenance.
- Support employee engagement activities, celebrations, training sessions, and internal events.
- Maintain confidentiality of employee information and company records.
- Prepare HR reports, employee MIS, onboarding reports, attendance reports, and administrative records as required.
- Assist in audits and ensure all HR documentation is updated and readily available.
- Coordinate with various departments to ensure smooth HR and administrative operations.
- Perform any other HR or administrative responsibilities assigned by the Reporting Manager or Management.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, Management, or a related field.
- MBA/PGDM in Human Resources will be an added advantage.
Pay: ₹12,000.00 - ₹18,000.00 per month
