About The Role
The Mansion is a premium design-led gifting brand serving luxury hospitality, corporate, and high-end clients.
We are looking for an Accounts & Office Coordinator to own our books, financial records, inventory accounting, and office administration. You'll be the operational backbone that lets the founder and team focus on growth.
This is a desk role with office oversight . You will work alongside our external CA (compliance), Warehouse Manager (physical stock), Product Merchandisers and Client Coordinator (front-of-house).
Core Responsibilities
Accounts & Bookkeeping (primary — ~60% of time)
- Full bookkeeping on Tally Prime - sales, purchase, expense, journal entries
- Generate client invoices, manage receivables, follow up on outstanding payments
- Prepare and process Purchase Orders; maintain vendor ledgers
- Bank, credit card, and payment gateway reconciliations (Shopify, Razorpay, etc.)
- E-way bills, e-invoicing
- Monthly closing - clean P&L, expense reports, sales reports
- Coordinate monthly hand-off pack to external CA (GST, TDS, return inputs ready)
- Export documentation - commercial invoice, packing list, BL/AWB, Certificate of Origin, bank submissions
- Maintain organised digital records - invoices, POs, contracts, vendor documents
Inventory Accounting & Supplies Oversight (~15%)
- Maintain stock journal in Tally - keep records aligned with Warehouse Manager's physical counts
- Monthly stock count audit (verification, not handling) with Warehouse Manager
- Track reorder levels for packaging, office, and studio supplies - flag and place orders before stock-outs
- Vendor coordination for supplies and office needs
HR & People Admin (~15%)
- Attendance and leave tracking
- Monthly payroll inputs to CA - including TDS, PF/ESI where applicable
- Onboarding paperwork - offer letters, employee files, documentation
- Interview scheduling and hiring logistics
- First point of contact for basic internal HR queries
Office & Internal Coordination (~10%)
- Oversee studio and office upkeep - cleanliness, organisation, supplies
- Vendor coordination for housekeeping, repairs, office needs
- Basic call receiving and routing
- Meeting scheduling, prepare meeting notes when required
- Document organisation - physical and digital
Who You Are
Must-haves
- 4–6 years of experience as an Accounts Executive in a small-to-mid sized company (premium brand, design studio, boutique agency, or similar)
- Strong working knowledge of Tally Prime, GST, TDS, e-way bills, e-invoicing, reconciliations
- Comfortable owning month-end closing and CA coordination independently
- Excellent organisation - you live in trackers, files, and follow-ups
- Good written and spoken English - you'll handle vendor, employee, and basic client communication
- Comfortable handling 6 - 8 different threads in a day without dropping any
- Ownership-led - you close loops without being reminded
Backgrounds we're looking for

- Boutique design studios, architecture firms, fashion ateliers
- Boutique agencies, PR firms, premium event production houses
- In-house accounts roles where the person was the sole or senior accounts person reporting to founders
Not for you if
- Your background is in large corporates, BPOs, or factory finance teams
- You're a Tally operator who waits for instructions on each entry
- You see office upkeep, supply ordering, or HR admin as beneath your skill set
- You need a CA above you to make every decision
- You're looking to transition into pure finance, FP&A, or CA practice - this is a generalist ownership role
Job Type: Full-time
Pay: ₹40,000.00 - ₹45,000.00 per month
