Job Title: Office Administrator – Events & Exhibitions

About the Role
We are looking for a highly organized and proactive Office Administrator to manage day-to-day office operations and provide administrative support to various departments. The ideal candidate should be capable of handling office coordination, vendor management, documentation, staff support, and ensuring smooth functioning of the office in a fast-paced events and exhibitions environment.
Key ResponsibilitiesOffice Administration
- Manage daily office operations and ensure smooth workflow across departments.
- Maintain office records, files, contracts, and important documents.
- Handle incoming calls, emails, couriers, and visitor management.
- Monitor office supplies and coordinate procurement when required.
- Maintain office equipment and coordinate maintenance and repairs.
Coordination & Support
- Coordinate with internal teams including Sales, Design, Production, Accounts, and Operations.
- Assist management in scheduling meetings, appointments, and travel arrangements.
- Prepare meeting agendas, MOMs (Minutes of Meeting), and follow-up action items.
- Support event and exhibition teams with administrative requirements before, during, and after projects.
Vendor & Procurement Management
- Coordinate with vendors, suppliers, fabricators, printers, and service providers.
- Obtain quotations, compare rates, and maintain vendor records.
- Track purchase orders, deliveries, and vendor payments.
- Ensure timely procurement of materials and office requirements.
Documentation & Compliance
- Maintain employee records, attendance, leave records, and HR-related documentation.
- Prepare and manage invoices, purchase orders, work orders, agreements, and project documentation.
- Ensure proper filing and record management for audits and compliance purposes.
- Maintain confidentiality of company and client information.
Accounts & Administrative Support
- Coordinate with the accounts department for billing, payments, reimbursements, and expense tracking.
- Assist in preparing reports, spreadsheets, and presentations.
- Follow up on pending payments, approvals, and documentation when required.
Required Skills

- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Good documentation and record-keeping skills.

Qualification
- Bachelor's Degree in Business Administration, Commerce, Management, or a related field.
- Freshers with strong administrative and organizational skills are welcome to apply.
- Previous experience in administration, office management, or coordination will be an advantage.
