School Office Admin Assistant & Accountant

Role Summary:
The individual will play a multi-functional role combining administrative support, transport operations, and financial accounting. The role requires excellent organizational skills, attention to detail, accountability, and a strong sense of responsibility to ensure the smooth functioning of school operations and compliance with CBSE and statutory norms.
- Assist in day-to-day front-office operations and clerical tasks
- Maintain student records, staff attendance, and internal documentation
- Prepare reports, meeting minutes, circulars, notices, and communication to parents and staff
- Liaise with the Principal and Management for scheduling meetings and school-wide events
- Ensure filing and storage of key documents—physical and digital—for audits and inspections
- Manage inventories and coordinate with vendors for stationery, supplies, and repairs
- Oversee the daily operation of the school transport system including route planning, driver assignments, and punctuality
- Ensure compliance with RTO, safety, pollution control, and insurance requirements for all school vehicles
- Coordinate with transport vendors, drivers, and vehicle maintenance providers
- Maintain logs of fuel usage, service schedules, fitness certificates, and driver performance
- Handle complaints and concerns from parents regarding transportation
- Ensure safe pickup and drop logistics and emergency protocols for student transport
- Maintain all financial records including fee collection, expense logs, bank reconciliations, and petty cash
- Manage monthly payroll for staff including statutory deductions (EPF, ESI, TDS)
- Prepare and submit monthly financial reports to management
- Coordinate with auditors and external consultants for periodic audits and compliance
- Handle vendor payments and maintain accounts payable/receivable ledger
- Support in budget preparation and financial forecasting for school operations
- Generate and send timely fee reminders and receipts to parents
Qualifications & Experience:
- Bachelor’s Degree in Commerce, Business Administration, or equivalent
- Minimum 3 years of experience in school administration, transport management, or accounting
- Familiarity with Tally, MS Excel, and school ERP systems preferred
- Knowledge of CBSE school operational norms and transport safety regulations
Skills & Competencies:
- Strong multitasking and time-management abilities
- Excellent written and verbal communication in English and Malayalam
- Trustworthy, discreet, and able to handle confidential information
- Problem-solving mindset with attention to safety and compliance
- Ability to work collaboratively with staff, parents, and external agencies
- Full-time role, 6-day working week (Monday–Saturday)
