Role Summary
The Executive Assistant to the CEO will act as a key coordination point between the CEO,
internal teams, clients, and external stakeholders. This role requires excellent communication
skills, strong attention to detail, discretion, and the ability to manage multiple priorities in a
fast-paced HVAC business environment.
Key Responsibilities
1. CEO Support & Scheduling
○ Manage the CEO’s calendar, appointments, meetings, and travel arrangements.
○ Prioritize and coordinate daily tasks, follow-ups, and reminders.
○ Prepare meeting agendas, presentations, and briefing documents.
2. Communication & Coordination
○ Serve as the primary point of contact between the CEO and internal
departments, clients, vendors, and partners.
○ Draft and manage professional emails, letters, reports, and other
correspondence.
○ Handle confidential information with discretion and professionalism.
3. Operations & Project Follow-up
○ Track ongoing HVAC projects, quotations, approvals, and client follow-ups.
○ Coordinate with sales, project, procurement, HR, and accounts teams to ensure
timely execution of tasks.
○ Monitor deadlines and prepare status updates for the CEO.
4. Administrative Management
○ Maintain organized records, files, contracts, and company documents.
○ Assist in preparing MIS reports, business summaries, and operational
dashboards.
○ Support event planning, client meetings, and company presentations.
5. Strategic & Executive Support
○ Assist the CEO with research, data analysis, and special projects.
○ Help streamline workflows and improve executive productivity.
○ Represent the CEO professionally in interactions with stakeholders.
Qualifications & Skills
● Bachelor’s degree in Business Administration, Management, or a related field.
● MBA in Business Administration, Human Resources or related field is a plus
● 3–6 years of experience as an Executive Assistant, Personal Assistant, or similar role.
● Excellent written and verbal communication skills in English.
● Strong organizational and time-management abilities.
● Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
● Ability to multitask, prioritize, and work under pressure.
● High level of professionalism, confidentiality, and attention to detail.
● Experience in the HVAC, construction, engineering, or service industry is an added
advantage.
