As we scale our presence in the B2B SaaS and enterprise market, we are looking for a Technical Writer – Proposals & RFPs who can transform complex product, technical, security, and business information into clear, compelling, and customer-ready proposals.
Why This Role Exists
Enterprise customers expect detailed and accurate responses to RFPs, RFIs, security questionnaires, vendor assessments, and technical proposals.
You will own the proposal and RFP content process — from understanding customer requirements to coordinating with internal teams, developing responses, maintaining reusable content, and delivering polished submissions within deadlines.
This is not a traditional product-documentation role.
What You'll DoRFP & Proposal Management
- Own end-to-end responses for RFPs, RFIs, RFQs, tenders, and enterprise questionnaires.
- Review customer requirements and identify response requirements, deadlines, dependencies, and gaps.
- Develop proposal structures, response plans, compliance matrices, and content outlines.
- Coordinate with Sales, Product, Engineering, Security, HR, and other stakeholders to collect accurate information.
- Ensure responses are complete, consistent, accurate, and submitted within deadlines.
- Track open questions, dependencies, approvals, and content status throughout the proposal lifecycle.
- Identify opportunities to improve proposal quality, win themes, and response strategy.
Technical & SaaS Content
- Translate complex SaaS and technical concepts into clear, customer-friendly language.
- Write product descriptions, solution overviews, technical responses, implementation approaches, and integration descriptions.
- Document capabilities across HCM modules including performance management, compensation, learning, and core HR.
- Develop content covering integrations, APIs, SSO, security, data protection, implementation, support, and product architecture.
- Work with technical teams to validate product and technical claims before submission.
Proposal Content Development
Create and maintain:
- Executive summaries
- Technical proposals
- RFP/RFI responses
- Product and solution descriptions
- Security questionnaire responses
- Implementation methodology
- Customer-facing presentations
- Case studies
- Capability statements
- FAQs
- Product comparison documents
- Compliance matrices
- Reusable proposal content
Content & Knowledge Management
- Build and maintain a centralized proposal/content library.
- Create reusable response templates and standard answers.
- Maintain an organized repository of approved product, security, compliance, and company information.
- Identify recurring RFP questions and improve the organization's response library.
- Ensure outdated or incorrect content is reviewed and refreshed regularly.
- Develop processes and templates that make future RFP responses faster and more consistent.
Quality & Review
- Proofread and edit proposals for grammar, clarity, tone, structure, and consistency.
- Ensure responses directly address customer requirements rather than providing generic information.
- Maintain consistent terminology and messaging across proposals.
- Review documents for conflicting claims, missing information, formatting issues, and unanswered requirements.
- Ensure confidential customer and company information is handled appropriately.
What We're Looking ForMust-Have
- 3–6 years of experience in technical writing, proposal writing, RFP/RFI response, bid management, presales content, or a related role.
- Proven experience handling RFPs, RFIs, proposals, or enterprise questionnaires.
- Strong technical and business writing skills.
- Excellent written and spoken English.
- Ability to understand and simplify complex technical information.
- Strong requirement analysis and research skills.
- Experience coordinating with multiple internal stakeholders.
- Strong proofreading and editing skills.
- Ability to manage multiple proposals and tight deadlines.
- Strong attention to detail.
- Good working knowledge of B2B SaaS / IT products.
Preferred
- Experience working with HCM, HRIS, LMS, ERP, CRM, or enterprise SaaS products.
- Experience responding to US or international enterprise RFPs.
- Experience with security questionnaires and vendor assessments.
- Understanding of SaaS integrations, APIs, SSO, cloud infrastructure, and data security.
- Experience with SOC 2, ISO 27001, GDPR, or other security/compliance requirements.
- Experience in presales or solution consulting environments.
- Familiarity with CRM and sales processes.
- Experience using AI tools to research, structure, or improve proposal content.
