This role involves overseeing shoot planning, on-ground coordination, timeline management, and cross-department execution. The ideal candidate is detail-oriented, great with people, and understands the fast-paced nature of the creative production world.
Key Responsibilities
1. Project Management & Timelines
- Own end-to-end execution of film projects from confirmation to final delivery
- Maintain shoot schedules, edit queues, and ensure timely updates in ClickUp / Notion
- Track deliverables across pre-production, shoot execution, post-production, and delivery
- Monitor shoot and edit timelines for each function and escalate delays to senior management.
2. Team Coordination
- Coordinate with Creative Director, Cinematographers, Editors, Album Designers, and Reels Editors
- Conduct weekly sprint meetings with the post-production and shoot teams
- Ensure all team members are aligned on shoot brief, gear list, and deliverable expectations.
- Communicate client-specific requirements to the creative team clearly and early
3. On-Ground Shoot Execution Oversight
- Oversee field production planning: gear readiness, team assignments, location logistics
- Ensure the team follows the function-wise SOP for on-ground coverage.
- Supervise shoot-day execution when required (especially high-value or complex shoots).
- Ensure on-site backups and data management processes are followed properly
4. Process & Documentation
- Maintain detailed records for each project — timeline trackers, function-wise logs, team attendance
- Use standard SOPs for pre-shoot readiness, shoot-day execution, and data handoff
- Ensure ClickUp or Notion is updated for every function and trigger hand offs to the next team
- Share shoot summaries and debriefs with management regularly
5. Client Coordination (Execution Phase Only)
- Stay in sync with the Project Manager or Sales team about key client expectations.
- Manage mid-project client updates, resolve on-ground escalations, and communicate post-shoot timelines
- Ensure expectations are met as per package and scope, and flag any overshoot early
