Job Summary
Sparkradix Group of Companies is looking for an experienced Tendering & Bid Manager to independently handle tender identification, evaluation, preparation, submission and tracking across the group’s Solar, Electrical, Civil, IT and Infrastructure divisions.
The candidate will be responsible for searching for suitable tenders, reviewing eligibility requirements, coordinating technical and commercial bid preparation, submitting bids within deadlines and maintaining complete tender records.
Key Responsibilities
Tender Search and Identification
Search for suitable government, PSU, utility, institutional and private-sector tenders.
Regularly monitor GeM, CPPP, state e-procurement portals, utility portals and private tender platforms.
Identify opportunities related to Solar, Electrical, Civil, IT, EPC and Infrastructure projects.
Review tender notices, scope of work, eligibility conditions and submission deadlines.
Prepare tender opportunity summaries for management review.
Recommend participation based on eligibility, project value, competition and execution capability.
Maintain a pipeline of upcoming and active tender opportunities.
Tender Evaluation
Review technical, financial and experience-related eligibility requirements.
Examine the tender scope, BOQ, technical specifications, timelines, payment terms and commercial conditions.
Identify mandatory registrations, certificates, turnover requirements and past-experience criteria.
Check requirements related to tender fees, EMD, bid security and performance security.
Prepare tender checklists and responsibility matrices.
Highlight important tender conditions, risks and resource requirements to management.
Coordinate management approval before beginning bid preparation.
Bid Preparation and Submission
Manage the complete tender preparation process from identification to final submission.
Coordinate with technical, project, procurement, finance, accounts and management teams.
Compile company registrations, financial statements, work orders, completion certificates and experience documents.
Prepare technical bid documents according to tender requirements.
Coordinate the preparation of BOQs, commercial bids and price bids.
Prepare declarations, undertakings, authorisation letters and tender-specific formats.
Ensure that all documents are signed, stamped and uploaded in the required format.
Arrange tender fees, EMDs, bid securities and bank guarantees in coordination with the finance team.
Complete online and offline tender submissions within prescribed deadlines.
Verify the complete bid before final uploading or dispatch.
Maintain acknowledgements and proof of submission.
Pre-Bid and Post-Submission Coordination
Review corrigenda, amendments and clarifications issued by tendering authorities.
Prepare and submit pre-bid queries in coordination with technical and commercial teams.
Attend or coordinate participation in pre-bid meetings.
Respond to clarification requests raised after tender submission.
Coordinate participation in reverse auctions and commercial negotiations.
Track technical evaluation, financial evaluation and award status.
Follow up with tendering authorities wherever required.
Coordinate post-award documentation after receipt of a Letter of Intent or Letter of Award.
Hand over awarded tenders and supporting documents to project execution teams.
Tender Records and Reporting
Maintain a central tender tracker for all group companies.
Record upcoming, approved, submitted, under-evaluation, awarded and unsuccessful tenders.
Maintain complete digital and physical tender files.
Organise tender documents according to project, client, portal and submission date.
Track tender fees, EMDs, bank guarantees and performance securities.
Coordinate the return or release of EMDs and other securities.
Maintain updated company credentials and standard tender documents.
Prepare weekly and monthly tender-status reports.
Report the tender pipeline, submission status, success rate and upcoming deadlines to management.
Maintain records of reasons for unsuccessful bids for future improvement.
Candidate Requirements
Bachelor’s degree in Engineering, Commerce, Finance, Business Administration or a related field.
Minimum four years of experience in tendering, bid management or e-procurement.
Experience in Solar, Electrical, Civil, IT, EPC, Construction or Infrastructure tenders will be preferred.
Practical experience using GeM, CPPP and state e-procurement portals.
Strong understanding of tender eligibility, technical bids and commercial bids.
Experience preparing and uploading tender documents.
Knowledge of tender fees, EMDs, bank guarantees and performance securities.
Strong documentation, drafting and coordination skills.
Excellent attention to detail and ability to manage multiple deadlines.
Proficiency in Microsoft Excel, Word, PDF tools and online tender portals.
Ability to maintain the confidentiality of pricing and bid information.
