Core Responsibilities
- Front Desk Management: Greet, welcome, and direct clients, guests, and visitors warmly. Ensure the reception area remains tidy, presentable, and stocked with necessary materials.
- Communication: Manage a multi-line phone system. Answer, screen, and forward calls, and handle incoming emails and messages professionally.
- Administrative Support: Schedule appointments, update calendars, and assist with data entry, filing, copying, and preparing meeting rooms.
- Mail & Deliveries: Sort, distribute, and log incoming mail, packages, and couriers.
- Security & Access: Maintain workplace security by following safety procedures, monitoring visitor logbooks, and issuing guest passes or badges.
Key Qualifications & Skills
- Experience: Previous experience as a receptionist, administrative assistant, or in a customer-facing role.
- Communication Skills: Excellent verbal and written communication skills in English (and additional languages as required by the local market).
- Tech Proficiency: Familiarity with office equipment (printers, scanners) and proficiency in MS Office Suite (Word, Excel, Outlook).
- Soft Skills: Exceptional organizational and multitasking abilities, a proactive approach to problem-solving, and a warm, patient, and professional attitude.
Typical Work Environment Details
- Work Hours: Standard full-time hours, typically Monday through Saturday (sometimes including half-days on Saturday depending on the industry).
