About the Role
We are hiring a Client Services Coordinator to own the rhythm of client communication, project tracking, and internal coordination across every active engagement.
This is not a project manager role. It is not an accounts or finance role. It is a hands-on client servicing and project coordination position, reporting directly to the founder.
You will be the person clients hear from between calls. You will be the person designers go to when a brief is unclear. You will be the person tracking every timeline, every deliverable, every approval.

Key Responsibilities
Client communication
- Schedule, attend, and document all client calls and review meetings
- Send action-item summaries within the same business day
- Send weekly written status updates to every active client
- Handle first-line client questions and route the rest to the founder
- Maintain a calm, clear, professional tone in every written and spoken exchange
Project coordination
- Maintain ClickUp hygiene across all live projects
- Track project timelines, milestones, and dependencies
- Flag risks and slippage early, with a proposed fix
- Coordinate handoffs between designers, the founder, and external partners
- Chase asset approvals, client feedback, and final sign-offs
Internal operations
- Coordinate with the in-house design team on briefs and deadlines
- Support the founder on calls, proposals, and follow-ups
- Keep Slack channels organised and active
- Run the Monday team huddle in coordination with the founder
- Capture and share meeting notes in Notion
Documentation
- Maintain client folders, brief documents, and project archives in Google Drive
- Update CRM records in Notion as projects progress
- Build and maintain a project status dashboard
What We Need
Experience
- 1 to 2 years of experience in an agency, design studio, marketing team, or client-facing role
- Direct experience handling client communication, project tracking, or both
Skills
- Sharp written and spoken English. Indian or British conventions.
- Strong working knowledge of ClickUp, Asana, Trello, or a similar project tool
- Notion fluency
- Slack fluency
- Comfortable using Google Workspace daily
- Confident on calls with senior decision-makers
