Job Summary
We are looking for a highly organized, proactive, and trustworthy Personal Secretary to CEO to provide comprehensive administrative and executive support. The candidate will be responsible for managing the CEO's schedule, coordinating meetings, handling communication, maintaining confidentiality, and ensuring smooth day-to-day executive activities.
Key Responsibilities
- Manage the CEO's daily calendar, appointments, meetings, and schedules.
- Coordinate internal and external meetings on behalf of the CEO.
- Handle emails, phone calls, correspondence, and other communications.
- Prepare meeting agendas, presentations, reports, and other documents as required.
- Maintain and organize important files, records, and confidential documents.
- Follow up with department heads, employees, clients, vendors, and business associates on behalf of the CEO.
- Track pending tasks, commitments, and important deadlines and provide timely reminders.
- Coordinate travel arrangements, accommodation, transportation, and itineraries for the CEO.
- Attend meetings when required and prepare meeting notes/minutes.
- Maintain confidentiality of sensitive business and personal information.
- Coordinate with various departments to ensure instructions from the CEO are communicated and followed up.
- Assist the CEO in preparing reports, MIS, presentations, and business-related documentation.
- Manage visitors and appointments with professionalism.
- Handle other administrative and personal assignments entrusted by the CEO.
- Ensure the CEO is well-prepared with relevant documents and information before meetings and appointments.
Required Skills & Qualifications
- Bachelor's degree in any discipline; MBA/PG qualification is an advantage.
- 2–5 years of experience as a Personal Secretary, Executive Assistant, or similar role.
- Excellent verbal and written communication skills.
- Strong knowledge of MS Office, particularly Word, Excel, PowerPoint, and Outlook.
- Excellent organizational and time-management skills.
- Ability to multitask and prioritize work effectively.
- Strong follow-up and coordination skills.
- Professional appearance and positive attitude.
- High level of discretion, integrity, and confidentiality.
- Ability to work under pressure and handle sensitive matters professionally.
- Good interpersonal and relationship-management skills.
- Willingness to work flexible hours when required.
Pay: ₹15,000.00 - ₹102,416.64 per month
