About the Role
RCMB is looking for a highly organized, proactive, and dependable Executive Assistant for the CEO’s office. The role will support executive coordination, HR operations, administrative follow-ups, documentation, and cross-departmental execution across the institution.
This is a high-responsibility learning role for a professional who is detail-oriented, discreet, well-organized, and comfortable working closely with leadership in a fast-paced institutional environment.
Key Responsibilities
Executive Coordination
- Manage the CEO’s schedules, meetings, appointments, reminders, and follow-ups.
- Coordinate with internal departments to ensure smooth execution of tasks and projects.
- Track action items from meetings and follow up with responsible team members for timely completion.
- Prepare meeting notes, summaries, reports, presentations, and internal documents.
- Assist in communication and coordination across departments on behalf of the CEO’s office.
Administrative & Operational Support
- Support day-to-day administrative and operational activities as required.
- Maintain organized records, documents, trackers, and follow-up systems.
- Assist in preparing reports, dashboards, and documentation for management review.
- Handle confidential information with professionalism and discretion.
HR & People Operations Support
- Support recruitment coordination, interview scheduling, and candidate communication.
- Assist with onboarding formalities, employee documentation, and joining processes.
- Support payroll coordination, attendance records, and employee data management.
- Leave management
- Help maintain HR trackers, staff records, and process-related documentation.
Productivity, Tools & Process Improvement
- Use Google Workspace, Excel, and documentation tools effectively for coordination and reporting.
- Explore modern productivity tools, AI tools, and automation platforms to improve efficiency.
- Identify opportunities to streamline routine workflows and improve follow-up systems.
Eligibility Criteria
- Master’s degree in Management, HR, Administration, Finance, or a related field.
- Fresh graduates are welcome. Internship, project, or campus leadership experience in administration, HR, operations, coordination, or documentation will be an advantage.
- Strong written and verbal communication skills.
- Good organizational ability with attention to detail.
- Ability to take ownership and execute tasks independently.
- Professional attitude with a high level of discretion and confidentiality.
- Comfortable working in a fast-paced and evolving environment.
- Proficiency in Google Workspace, MS Excel, and basic documentation tools.
- Interest in using modern productivity and AI tools to improve work efficiency.
Preferred Skills
- Prior internship or project exposure in administration, HR coordination, office coordination, operations, or executive support.
- Familiarity with tools such as ChatGPT, Notion AI, automation platforms, task trackers, or similar productivity tools.
- Ability to prepare clean reports, presentations, trackers, and structured summaries.
- Strong follow-up discipline and ability to coordinate with multiple stakeholders.
- Curiosity to learn new systems, improve processes, and bring structure to daily operations.
