Position Overview
Personal Assistant/Admin Manager required to help a skin care physician manage a hectic medical practice with various properties and rentals.
Key Responsibilities
- Executive & Personal Assistance
- Manage daily calendar, appointments and meetings, and schedule
- Coordinate professional commitments
- Answer calls, emails and WhatsApp messages and follow-up's
- Manage reminders, travel arrangements, reservations and itineraries
- Help manage tasks and daily work flow.
- Maintain confidentiality of sensitive business and personal information
Clinic Administration & Operations
- Oversee the activities at the front desk and clinic.
- Provide support in staff coordination, attendance and shift management
- Help to streamline communication between doctors, therapists, receptionists, and vendors.
- Support stocking of the Clinic supplies, consumables and equipment
- Organize the upkeep and maintenance of machines/equipment
- Help with vendor management and purchasing
- Property & Rental Management Assistance.
- Communicate with tenants, brokers, maintenance and vendors
- Maintain rental revenue records, contracts, renewals and documentation
- Track up maintenance requests and property related issues
- Help organise property records, bills and contracts
- Support with on-going operational requirements of rental properties
- Coordination of Administration and Finances
- Organize your records in a systematic manner.
- Prepare reports, spreadsheets, and summaries.
- Process invoices, payments, receipts, and expenditures.
- Help to coordinate and document basic accounting documents
- Manage data, paperwork, registration
Digital & Business Support
- Help organize social media and online inquiries (if applicable)
- Support with the management of CRM systems, Excel sheets, Google Workspace or clinic software
- Manage marketing vendors, designers or agencies when necessary
- Aid in the growth of businesses and the enhancement of operations.
Preferred Skills
- Experience as a Personal Assistant (PA), Executive Assistant (EA), Clinic Coordinator or Admin Manager will be an added advantage.
- Good interpersonal and communication skills
- A highly organized and multitasking nature
- Proficiency in the use of Microsoft Excel, Google Sheets and Word
- Working effectively under pressure

Job Type: Full-time
Pay: ₹25,000.00 - ₹30,000.00 per month
