About the Role
Travoinspire Global Pvt. Ltd. is looking for an experienced School Travel & Educational Tours Manager who can independently take complete ownership of planning and executing school trips and educational tours across India and international destinations.
We are looking for someone with strong practical experience in school travel, educational tours and student group movements, who understands that successful school travel requires much more than simply booking flights and hotels.
The selected candidate will be the overall trip planner and single-point coordinator, responsible for ensuring that every minute operational detail is planned, coordinated and executed properly from the initial requirement until the group returns safely.
Our company has dedicated teams handling air ticketing and visa processing. The School Travel Manager will coordinate with these internal teams and ensure that all requirements are completed correctly and on time.
Key ResponsibilitiesComplete Trip Planning & Ownership
- Independently plan and manage school trips, educational tours, student excursions and study tours across India and overseas.
- Take complete ownership of the trip from initial enquiry to final trip closure.
- Understand the school's requirements, student profile, teacher requirements, educational objectives, budget and preferred destinations.
- Design detailed and practical itineraries covering every aspect of the trip.
- Anticipate operational requirements and identify potential issues before they arise.
- Maintain a detailed trip checklist and ensure nothing is missed.
Detailed Trip Coordination
The candidate will be responsible for coordinating and ensuring all elements of the trip, including:
- Flights/trains
- Hotels and room allocations
- Student and teacher accommodation requirements
- Meals and special dietary requirements
- Local transportation
- Airport / railway transfers
- Sightseeing
- Educational visits
- Activities and excursions
- Entry tickets and reservations
- Guides and escorts
- Local coordinators
- Destination-specific requirements
- Emergency contacts
- Group movement schedules
- Reporting and meeting points
- Rooming lists and passenger lists
- Supplier confirmations
- School / teacher coordination
- On-ground operational arrangements
Internal Team Coordination
- Coordinate with the company's ticketing team for all air/rail booking requirements.
- Coordinate with the company's visa team for visa processing and documentation requirements.
- Ensure ticketing and visa teams receive accurate information and complete their respective tasks within timelines.
- Follow up with internal teams and suppliers to ensure there are no pending items.
- Maintain a master trip status tracker covering every component of the journey.
- Take responsibility for ensuring that the complete trip is ready, even when individual components are handled by different internal teams.
Supplier & Destination Management
- Coordinate with hotels, DMCs, transport companies, attractions, guides and other suppliers.
- Obtain and compare quotations.
- Negotiate competitive rates and suitable terms.
- Verify supplier confirmations and operational details.
- Maintain strong relationships with reliable suppliers.
- Identify suitable new destinations and educational experiences for school groups.
School & Client Coordination
- Act as the primary operational point of contact for the school / group coordinator.
- Understand requirements clearly and provide timely updates.
- Coordinate with teachers and school representatives before departure.
- Conduct detailed pre-departure coordination and ensure all requirements are confirmed.
- Provide complete travel information and documentation to the school.
- Remain available for operational coordination during active trips when required.
On-Ground Execution
- Ensure that all arrangements are properly executed at the destination.
- Coordinate with the ground team, hotel, transporters, guides and local suppliers.
- Monitor group movements and ensure the itinerary is being followed.
- Handle last-minute changes and operational issues.
- Coordinate quickly in case of delays, cancellations, emergencies or unexpected situations.
- Ensure the school receives the level of service promised during the planning stage.
Required Experience & Skills
- Mandatory hands-on experience in planning and executing school trips / educational tours/student group travel.
- Strong knowledge of Indian and international destinations suitable for school groups.
- Proven experience independently planning complete school tours.
- Excellent understanding of group travel logistics.
- Strong supplier coordination and negotiation skills.
- Excellent attention to detail.
- Strong organisational and follow-up skills.
- Ability to manage multiple trips simultaneously.
- Ability to anticipate problems and develop solutions before they affect the trip.
- Excellent communication and interpersonal skills.
- Ability to work independently with minimal supervision.
- Ability to take complete responsibility and ownership for the successful execution of a trip.
- Good working knowledge of MS Excel and travel documentation.
Preferred Experience
- Experience with a travel company, school-tour operator, DMC or educational travel company.
- Experience handling international school trips.
- Experience coordinating large student groups.
- Knowledge of visa and international travel requirements.
- Existing relationships with hotels, DMCs, transporters, attractions or educational institutions will be an advantage.
What We Expect From You
This is not a routine ticketing or visa-processing role.
You will have dedicated internal teams for ticketing and visa processing. Your responsibility is to plan, coordinate, monitor and ensure the entire trip is executed perfectly.
You should be the person who can look at the complete trip and ask:
“What could possibly go wrong, what needs to be arranged, and what have we missed?”
You will be expected to independently manage the complete process:
School Requirement → Itinerary Design → Costing → Supplier Coordination → Internal Team Coordination → Booking Follow-up → Documentation → Pre-Departure Planning → On-Ground Coordination → Trip Completion
The ideal candidate should be highly organised, proactive, detail-oriented and capable of taking complete ownership without requiring constant supervision.
