Job Summary
We are seeking a proactive and highly organized Personal Assistant (PA) to provide administrative and executive support to the Joint Director. The candidate will be responsible for calendar management, travel arrangements, approval tracking, payment and billing coordination, meeting scheduling, and ensuring smooth day-to-day executive operations.
Key Responsibilities
- Manage the Joint Director's calendar, appointments, meetings, and daily schedules.
- Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and itineraries.
- Track and follow up on approvals, pending documents, and management requests.
- Coordinate with internal departments and external stakeholders for timely execution of tasks.
- Handle payment follow-ups, invoice processing, billing coordination, and reimbursement tracking.
- Prepare meeting schedules, MOMs (Minutes of Meeting), presentations, and reports.
- Draft professional emails, letters, and business correspondence.
- Maintain confidential records, documents, and executive files.
- Ensure effective communication and seamless coordination between the Joint Director and various stakeholders.
- Support administrative and operational activities as required.
Required Skills & Qualifications
- Graduate in any discipline.
- Minimum 3 years of experience as a Personal Assistant, Executive Assistant, or Secretary to senior management.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Strong follow-up and coordination skills.
- High level of professionalism and confidentiality.
Preferred Candidate Profile
- Experience working with Directors, Senior Management, or CXO-level executives.
- Exposure to travel management, billing processes, and executive scheduling.
- Ability to prioritize tasks and work under deadlines.
- Detail-oriented with strong problem-solving skills.
