Role Overview
Our client, a yarn manufacturing company that also runs an import trading business, is hiring an Import Export Executive for their Surat office.
The role covers end-to-end import and export documentation and coordination with all parties in the shipment cycle, including overseas buyers and suppliers, CHA, freight forwarders, shipping lines, transporters and banks.
The position is suitable for someone who has independently handled EXIM documentation and can follow through until shipments, paperwork and payments are closed.
Key Responsibilities
- Prepare, verify and maintain import and export documentation, including commercial invoices, packing lists, bills of lading/airway bills, certificates of origin and related shipment paperwork.
- Coordinate with CHA, freight forwarders, shipping lines and transporters for booking, customs clearance and timely dispatch or receipt of consignments.
- Follow up with overseas buyers, suppliers and agents regarding order status, shipment schedules, documentation requirements and payment terms.
- Support customs filing coordination, including shipping bills and bills of entry, and ensure documents comply with applicable customs and trade requirements.
- Complete banking formalities for imports and exports, including LC-related paperwork, submission of documents to the bank, inward and outward remittances, and follow-up on realisations within timelines.
- Track shipments end-to-end and keep internal teams and customers updated on status, delays and expected delivery.
- Coordinate with accounts on invoicing, freight bills, duty payments and reconciliation of shipment costs.
- Maintain organised records and filing of shipment documents, licences and registrations for reference and audit.
- Prepare periodic reports on shipments, pending documentation and pending payments.
- Liaise with purchase, production, stores, dispatch and accounts teams to ensure goods move according to schedule.
Required Skills
- Graduate in any stream; Commerce, Business Administration or International Business preferred.
- 2.5 to 3 years or more of hands-on experience in import-export documentation and coordination.
- Working knowledge of shipping documentation, customs procedures, banking formalities and international trade terms such as Incoterms and LC.
- Exposure to HS Codes is an advantage.
- Experience in textile, yarn or a similar manufacturing/trading setup is preferred but not mandatory.
- Good working knowledge of MS Excel, MS Word and professional email correspondence.
- Comfort with ERP or accounting software is a plus.
- Good communication skills in English, Hindi and Gujarati for dealing with parties, agents and overseas contacts.
- Detail-oriented and organised, with the ability to handle multiple shipments and deadlines simultaneously.
