Australian Visa Case Processing Officer & Client Relations Executive
Location: Faridkot, Punjab 151203 (Walking distance from Faridkot Bus Stand)
Employment Type: Full-Time, Permanent
Working Hours: 7:00 AM to 3:30 PM
Working Days: Monday to Saturday (Early finish on most Saturdays)
About the Role
Gill Immigration is looking for a motivated and professional individual to join our Faridkot office as an Australian Visa Case Processing Officer & Client Relations Executive.
This role combines client communication, telecalling, visa documentation, case processing support, and office administration while working closely with our Australian operations team. It is an excellent opportunity for someone looking to build a long-term career in the immigration industry.
Preferred Experience & Learning Opportunity
Candidates with experience in immigration services, telecalling, customer service, administration, documentation, or education consulting will be highly preferred.
However, candidates with excellent English communication skills, strong attention to detail, and a willingness to learn are encouraged to apply.
Training and ongoing support will be provided. Candidates with superior English skills, strong computer knowledge, and experience managing client data in Excel will be given priority.
Key Responsibilities
Client Relations & Telecalling
- Handle inbound and outbound calls professionally.
- Follow up with prospective and existing clients.
- Schedule appointments and consultations.
- Communicate with clients through phone, email, and WhatsApp.
- Provide updates regarding documentation and application progress.
- Maintain accurate records of client interactions and follow-ups.
- Build and maintain positive client relationships.
Visa Documentation & Case Processing
- Assist with preparing Australian visa applications and supporting documents.
- Collect, review, and organise client documents.
- Prepare document checklists and explain document requirements.
- Follow up with clients regarding outstanding documents and information.
- Review documents for completeness before submission.
- Upload and organise documents in company systems.
- Maintain accurate client records and application status updates.
- Assist with completing application forms and documentation.
- Track document requests, deadlines, and follow-ups.
- Maintain organised electronic and physical client files.
- Support senior team members with case preparation and administrative tasks.
Documentation & Drafting
- Prepare client correspondence, document requests, and follow-up emails.
- Assist in drafting SOPs and supporting documents where required.
- Create and update document templates and standard letters.
- Review documents for spelling, grammar, formatting, and consistency.
- Organise and maintain client files and records.
Excel & Client Data Management
- Maintain and update client information in Excel spreadsheets and company databases.
- Track leads, consultations, applications, and follow-ups.
- Monitor outstanding document requests and application progress.
- Generate basic reports when required.
- Ensure client data is accurate, organised, and up to date.
Office Administration
- Perform general administrative and office support duties.
- Scan, upload, and organise client documentation.
- Maintain confidentiality of client information.
- Assist with day-to-day office operations.
Requirements
Essential
- Bachelor's Degree minimum in any discipline.
- Master's Degree preferred.
- 1-2 years of experience in immigration, telecalling, customer service, administration, or a related field preferred.
- Excellent English communication skills are essential.
- Candidates with Superior English communication and writing skills will be given strong preference.
- Good knowledge of Microsoft Word and Excel.
- Experience maintaining client records and Excel tracking sheets will be highly regarded.
- Strong organisational skills and attention to detail.
- Professional telephone etiquette.
- Applicants must be comfortable working from 7:00 AM to 3:30 PM.
- Willingness to learn and grow within the immigration industry.
Preferred
- Experience in Australian visa processing or immigration documentation.
- Experience drafting SOPs or visa-related documents.
- Strong Excel and client data management skills.
- Local candidates from Faridkot and nearby areas, or candidates who can easily commute to the office.

Salary
Base salary typically ranges from 20,000 to 30,000 per month, depending on experience, skills, English proficiency, and overall suitability for the role. Higher remuneration may be considered for exceptional candidates with relevant industry experience and strong capabilities.
