1. Dispatch Coordination
- Plan and coordinate daily dispatch schedules based on production readiness and customer priorities.
- Prepare dispatch plans and ensure timely shipment of goods.
- Coordinate with transporters, warehouse, and logistics teams.
- Track shipments and update stakeholders on delivery status.
2. Documentation & Compliance
- Prepare and verify dispatch documents such as delivery challans, packing lists, e-way bills, and transport documents.
- Ensure compliance with GST and statutory requirements.
- Maintain accurate dispatch records and logs.
3. Billing & Invoicing
- Generate customer invoices as per dispatch details and purchase orders.
- Verify pricing, taxes, and quantities before billing.
- Coordinate with accounts for payment follow-ups and reconciliation.
4. Order Management
- Monitor order status from receipt to delivery.
- Ensure alignment between sales orders, production, and dispatch.
- Handle order changes, cancellations, and urgent requests.
5. Coordination & Communication
- Liaise with sales, production, stores, and accounts teams.
- Communicate dispatch details to customers and internal stakeholders.
- Resolve issues related to delivery delays or billing discrepancies.
6. Inventory & Records
- Coordinate with stores for stock availability and dispatch readiness.
- Maintain records of dispatched goods and pending orders.
7. Reporting
- Prepare daily/weekly reports on dispatch status, billing, and pending orders.
- Track KPIs such as on-time dispatch and billing accuracy.
Key Skills & Competencies
- Knowledge of dispatch processes and logistics coordination
- Understanding of GST billing and invoicing procedures
- Strong attention to detail and accuracy
- Good communication and coordination skills
- Basic accounting knowledge
- Proficiency in ERP systems (SAP, Tally, etc.) and MS Excel
Qualifications
- Bachelor’s degree in Commerce / Business Administration / Logistics or related field
- 2–6 years of experience in dispatch, logistics, or billing roles
