Job Summary
We are looking for a sincere, hardworking, and responsible Accountant cum office Assistant to manage day-to-day office administration, accounts, and documentation and assist with site coordination. The candidate should be willing to visit project sites whenever required for measurement recording, documentation, and coordination with engineers and clients.
Key Responsibilities: Accounts & Finance
- Prepare the Billing process in excel for our format
- Prepare the slide show/PPT in PowerPoint and other required software.
- Maintain daily cash book, petty cash, and expenditure records.
- Prepare purchase vouchers, payment vouchers, and receipts.
- Maintain vendor, supplier, and subcontractor accounts.
- Record accounting entries in Tally/Busy or similar accounting software.
- Prepare GST-related documents and assist in GST filing.
- Maintain bank reconciliation statements.
- Prepare salary sheets, ESI, EPF, and statutory records.
- Assist in the preparation of income tax and financial documents.
Office Administration
- Draft official letters, quotations, work orders, agreements, and correspondence.
- Prepare invoices, bills, estimates, and office reports.
- Maintain proper filing of office documents in both physical and digital formats.
- Handle emails, courier records, phone calls, and office communication.
- Prepare Excel reports and MIS reports and maintain project records.
- Coordinate with clients, consultants, suppliers, and government departments.
Site Coordination & Field Work
- Visit project sites whenever required.
- Record measurements of executed work in Measurement Books (MB) and site registers.
- Assist engineers in preparing measurement sheets and quantity calculations.
- Collect site progress details, photographs, and execution reports.
- Verify material delivery records and labour attendance at the site.
- Coordinate with site engineers regarding work progress.
- Carry documents between the office, client offices, and project sites whenever required.
Documentation
- Maintain tender documents, agreements, drawings, and contract files.
- Prepare documentation for RA bills, final bills, and payment submissions.
- Organise project files and maintain document registers.
- Prepare reports required by management.
Required Skills
- B.Com / M.Com or equivalent qualification in accounting-related work.
- If knowledge of Tally, Busy, MS Excel, MS Word, and Outlook.
- Good drafting and communication skills in English.
- Basic understanding of accounting principles.
- Ability to prepare professional office letters and reports.
- Willingness to travel to project sites when required.
- Honest, punctual, organised, and able to work independently.
Preferred Experience
- Experience Candidate must about computer Knowledge, accounts-related work and office assistant posts.
- Knowledge of billing procedures, Measurement Books (MB), BOQ, RA Bills, GST, ESI, and EPF will be an added advantage.
