We are looking for a highly organized, proactive, and detail-oriented Administrative Assistant to work closely with the Founder and support the day-to-day operations of our interior design business. This role requires someone who can effectively manage schedules, coordinate client communications, oversee administrative processes, and ensure smooth execution of operational activities.
The ideal candidate will act as the Founder’s trusted support partner, helping manage priorities, streamline workflows, coordinate with clients, vendors, and internal teams, and maintain operational efficiency across multiple projects.
Key ResponsibilitiesFounder Support & Executive Assistance
- Manage the Founder’s calendar, appointments, meetings, and travel arrangements.
- Prioritize and coordinate daily tasks, follow-ups, and action items.
- Prepare meeting agendas, take notes, and track deliverables.
- Handle correspondence, emails, and communication on behalf of the Founder when required.
- Assist in organizing presentations, proposals, and business documents.
Client Coordination & Relationship Management
- Serve as a primary point of contact for clients regarding meetings, updates, and documentation.
- Schedule client consultations, site visits, and project review meetings.
- Maintain client records and project-related documentation.
- Ensure timely communication and follow-up with clients.
- Support the Founder in delivering an exceptional client experience.
Operations & Project Coordination
- Coordinate with designers, vendors, contractors, and suppliers to ensure smooth project execution.
- Track project timelines, milestones, and pending actions.
- Maintain project status reports and operational dashboards.
- Assist in procurement coordination and vendor communication.
- Ensure project documentation is organized and updated.
Administrative Management
- Maintain office records, contracts, invoices, and administrative files.
- Manage office supplies, vendor relationships, and general office administration.
- Coordinate courier services, documentation, and filing systems.
- Support invoice tracking, payment follow-ups, and basic financial administration.
- Ensure proper record keeping and process compliance.
Business Operations Support
- Assist in developing and implementing operational processes and systems.
- Monitor task completion and accountability across teams.
- Prepare reports and summaries for management review.
- Support business development activities and networking events when required.
- Identify opportunities to improve efficiency and streamline workflows.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, Communications, or a related field.
- 2–5 years of experience as an Executive Assistant, Administrative Assistant, Operations Coordinator, or similar role.
- Experience in interior design, architecture, construction, real estate, or creative industries is preferred.
- Strong proficiency in Microsoft Office, Google Workspace, and project management tools.
- Excellent verbal and written communication skills.

Pay: ₹10,000.00 - ₹20,000.00 per month
