Job Summary
The Purchase Executive is responsible for sourcing, negotiating, and procuring raw materials, packaging materials, and other operational requirements to support business operations. The role involves vendor management, cost optimization, inventory coordination, and ensuring timely procurement while maintaining quality and compliance standards.
Key Responsibilities:
Procurement & Sourcing
- Identify, evaluate, and onboard new suppliers and vendors.
- Source raw materials, packaging materials, consumables, and other business requirements.
- Obtain quotations, compare prices, and negotiate favorable commercial terms.
- Generate and process purchase orders in accordance with company policies.
Vendor Management
- Develop and maintain strong relationships with suppliers.
- Monitor supplier performance in terms of quality, pricing, delivery, and service levels.
- Resolve vendor-related issues and coordinate corrective actions when required.
- Conduct periodic vendor evaluations and maintain vendor records.
Cost Control & Negotiation
- Negotiate pricing, payment terms, and delivery schedules to achieve cost savings.
- Monitor market trends and identify opportunities for cost optimization.
- Support strategic sourcing initiatives to improve procurement efficiency.
Inventory Coordination
- Coordinate with Production, Stores, and Planning teams to ensure timely availability of materials.
- Monitor stock levels and initiate procurement activities to avoid stock-outs.
- Assist in maintaining optimum inventory levels while minimizing excess stock.
Documentation & Compliance
- Maintain accurate procurement records, purchase orders, quotations, and contracts.
- Ensure all purchases comply with company policies and applicable regulatory requirements.
- Coordinate with Accounts for invoice verification and vendor payment processing.
Logistics Coordination
- Follow up with suppliers to ensure timely dispatch and delivery of materials.
- Coordinate with logistics and warehouse teams for smooth receipt of goods.
- Track pending orders and proactively address supply delays.
Reporting & Analysis
- Prepare procurement reports, purchase summaries, and vendor performance reports.
- Maintain procurement databases and management dashboards.
- Analyze purchasing data to support informed decision-making.
Continuous Improvement
- Identify opportunities to improve procurement processes and operational efficiency.
- Support automation and digitization initiatives within the procurement function.
- Contribute to supplier development and supply chain optimization projects.
Qualifications
- Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, Agriculture, Food Technology, or a related field.
Experience
- 2–5 years of experience in procurement, purchasing, sourcing, or supply chain operations.
- Experience in the organic food, FMCG, agriculture, or manufacturing industry will be preferred.
