JOB DESCRIPTION – SENIOR ACCOUNTS EXECUTIVE

Experience Required: 7–8 years, preferably in an engineering or manufacturing company
Job Purpose
The Senior Accounts Executive will be responsible for maintaining accurate company accounts, statutory compliance, taxation, receivable and payable management, project-cost monitoring, banking documentation, and timely preparation of financial and management reports.
Key Roles and Responsibilities1. Accounting and Bookkeeping
- Maintain complete and accurate books of accounts in Tally/ERP.
- Record purchase, sales, receipt, payment, journal, debit note and credit note entries.
- Verify accounting entries, ledgers, supporting documents and cost allocations.
- Perform monthly closing of accounts and assist in year-end finalisation.
- Maintain proper accounting records for DVT and other group companies, as assigned.
2. GST, TDS and Statutory Compliance
- Prepare and file GSTR-1, GSTR-3B and other applicable GST returns within due dates.
- Reconcile GSTR-2B with purchase registers and follow up with vendors for missing input tax credit.
- Calculate, deduct, deposit and file TDS returns.
- Issue TDS certificates and maintain statutory records.
- Assist with income-tax assessments, GST notices, audits and other statutory matters.
- Coordinate with Chartered Accountants, auditors, consultants and government authorities.
3. Accounts Receivable and Customer Billing
- Prepare tax invoices, proforma invoices, debit notes and credit notes.
- Issue invoices according to purchase-order terms and project milestones.
- Monitor customer advances, outstanding payments, retention amounts and overdue receivables.
- Coordinate with the Sales, Projects and Service teams for payment follow-ups.
- Prepare customer ageing reports and escalate delayed payments to management.
- Reconcile customer ledgers and obtain balance confirmations.
4. Accounts Payable and Vendor Management
- Verify vendor invoices against purchase orders, GRNs, delivery challans and approvals.
- Ensure correct GST, TDS, payment terms and expense classification.
- Prepare vendor payment schedules based on due dates and management approval.
- Reconcile vendor ledgers and resolve discrepancies.
- Monitor advances paid to vendors and ensure timely adjustment against supplies.
- Prevent duplicate, excess or unauthorised payments.
5. Banking and Cash-Flow Management
- Carry out bank reconciliations regularly.
- Prepare daily and weekly cash-flow and fund-position reports.
- Process authorised bank payments and maintain supporting documentation.
- Coordinate with banks for bank guarantees, letters of credit, bill discounting, forex transactions and other banking requirements.
- Monitor BG/LC validity, margins, expiry dates and closure.
- Maintain records of loans, interest, repayment schedules and banking charges.
6. Project Costing and MIS
- Maintain project-wise records of material, labour, subcontracting, travel, site and other expenses.
- Compare actual project costs against budgets and approved purchase-order values.
- Identify cost overruns, unbilled work and excess expenses.
- Prepare monthly MIS reports covering:
- Sales and collections
- Customer and vendor ageing
- Project-wise profitability
- Cash flow and fund requirements
- Statutory liabilities
- Advances, retention and pending recoveries
- Provide financial information required by management for decision-making.
7. Payroll and Employee Expenses
- Coordinate attendance, salary inputs, incentives, deductions, advances and reimbursements.
- Verify employee travel, lodging, food, local-conveyance and site-expense claims as per company policy.
- Ensure that reimbursements are supported by approved bills and documents.
- Assist in payroll accounting and compliance relating to PF, ESIC, professional tax and other applicable requirements.
8. Audit and Document Control
- Assist in statutory, tax, internal, stock and bank audits.
- Maintain invoices, vouchers, returns, challans, contracts and supporting records systematically.
- Provide auditors with schedules, reconciliations and supporting documents.
- Ensure financial data remains confidential and properly backed up.
- Strengthen internal controls and recommend improvements in accounting processes.
Required Qualifications
- B.Com, M.Com, MBA Finance, CA-Inter or equivalent qualification.
- Minimum 5 years of relevant accounts and taxation experience.
- Experience in an engineering, capital-equipment, manufacturing or project-based company is preferred.
- Practical knowledge of GST, TDS, income tax, payroll and accounting standards.
- Proficiency in Tally Prime, MS Excel and ERP/accounting software.
- Strong knowledge of Excel functions, reconciliations, ageing reports and MIS preparation.
- Knowledge of import/export documentation, e-invoicing and e-way bills will be an advantage.

- Proper control over advances, reimbursements and supporting documents.
Authority and Accountability
The Senior Accounts Executive is authorised to seek necessary supporting documents, clarifications and approvals from concerned departments. No invoice, payment, reimbursement or accounting adjustment shall be processed without adequate documentation and the prescribed approval.
Any financial irregularity, statutory default, incorrect claim, duplicate payment, major reconciliation difference or risk of financial loss must be reported immediately to management.
Pay: ₹25,000.00 - ₹38,000.00 per month
