We are seeking a highly professional, bright, bubbly, and welcoming Receptionist / Front Desk Coordinator to be the first point of contact for all visitors, clients, suppliers, and stakeholders arriving at the shipyard. The successful candidate must possess an excellent command of English, outstanding communication skills, a positive attitude, and the ability to provide a warm and professional welcome while maintaining strong administrative control.
This role requires a confident and organised individual who can manage a busy reception environment, coordinate visitor access, support meetings, and ensure all visitors receive a professional experience from arrival through departure.
Key Responsibilities
· Welcome and greet all visitors arriving at the shipyard in a friendly, professional, and courteous manner.
· Act as the first point of contact for VIP shareholders, clients, suppliers, contractors, and other company guests.
· Manage visitor sign-in procedures, ensuring all visitors complete the required company induction sheet before entering the premises.
· Maintain accurate records of visitor induction documentation, including visitor details and induction dates, ensuring records remain valid for a 12-month period.
· Verify that all visitors have been pre-booked and approved to meet with relevant MOC staff. Visitors without prior appointments may be refused access.
· Notify the appropriate company representatives when visitors arrive using WhatsApp on a company computer system.
· Escort visitors to designated meeting rooms and ensure they remain in approved areas while on company premises.
· Maintain a professional reception area and ensure meeting rooms are prepared to a high standard.
· Prepare meeting rooms with refreshments, snacks, and required arrangements for VIP visitors.
· Coordinate tea and coffee services for VIP guests and important meetings.
· Arrange working lunches and catering requirements when requested.
· Coordinate transportation arrangements, including booking drivers when required.
· Issue required personal protective equipment (PPE) to visitors entering the shipyard areas.
· Provide umbrellas and other visitor support items when required.
· Ensure all visitor PPE is maintained in a clean, organised, and ready-to-use condition.
· Answer the company’s advertised mobile telephone number during business hours and handle calls professionally.
· Ensure the reception mobile phone remains secured and locked away outside business hours.
· Manage incoming enquiries and direct calls or messages to the appropriate departments.
· Contact interview candidates, confirm availability, and schedule interviews with relevant company personnel.
· Provide general administrative support to ensure smooth daily reception operations.
· Maintain confidentiality when dealing with clients, employees, visitors, and company information.
Required Skills and Experience
· Excellent spoken and written English communication skills (mandatory).

· Professional appearance and a customer-focused approach.
· Previous experience in reception, front office, hospitality, administration, or customer service roles preferred.
· Strong organisational skills with the ability to manage multiple tasks efficiently.
· Confidence communicating with senior executives, VIP guests, suppliers, and contractors.
· Ability to work independently while maintaining attention to detail.
· Good computer skills, including experience using email, messaging platforms, and basic office systems.
· A proactive attitude with excellent problem-solving abilities.
