Job Title: Documentation & Compliance Officer

Role Overview
YS Group is looking for a proactive, organized, and detail-oriented Documentation & Compliance Officer to oversee the day-to-day administrative operations of the college office. The role involves ensuring accurate documentation, maintaining regular coordination with the University and regulatory authorities, and supporting smooth academic and administrative functioning. The ideal candidate should possess excellent organizational skills, strong communication abilities, and the capability to manage multiple responsibilities efficiently.
Key Responsibilities
- Ensure proper maintenance, organization, and safekeeping of all office records, student files, and institutional documents.
- Maintain regular communication and correspondence with the University, affiliating bodies, and other statutory authorities.
- Ensure timely submission of university-related reports, examination forms, student data, affiliation documents, compliance reports, and other official communications.
- Coordinate all activities relating to admissions, registrations, examinations, migration, scholarships, and student records.
- Monitor deadlines issued by the University and ensure timely compliance by all concerned departments.
- Draft official letters, notices, reports, and other institutional correspondence.
- Maintain proper documentation for inspections, audits, accreditation processes, and regulatory compliances.
- Coordinate with various departments to collect, verify, and compile information required by the University and Management.
- Supervise the day-to-day functioning of the college office and ensure smooth administrative operations.
- Maintain confidentiality of institutional records and official documents.
- Assist the Management in implementing administrative policies, systems, and Standard Operating Procedures (SOPs).
- Ensure proper filing, digitization, retrieval, and archival of institutional records.
- Coordinate with students, parents, faculty members, and administrative staff to resolve office-related queries efficiently.
- Perform any other administrative responsibilities assigned by the Management from time to time.
Key Requirements
- Bachelor's degree in any discipline; Master's degree preferred.
- 3–5 years of experience in educational administration, office management, or university coordination.
- Good understanding of university procedures, documentation, examinations, affiliation processes, and regulatory requirements.
- Excellent drafting and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and ERP systems.
- Strong organizational, coordination, and time management skills.
- Ability to work under deadlines while maintaining high levels of accuracy.
- High level of integrity, professionalism, and attention to detail.
