Key Responsibilities:
Client Service and Front Desk Operations
- Greet clients, visitors, and guests in a professional and courteous manner.
- Manage incoming calls, direct inquiries, and handle general correspondence.
- Maintain a neat, organized, and welcoming reception area.
Appointment & Meeting Management
- Schedule and coordinate appointments, meetings and conference room bookings.
- Liaise with lawyers and internal teams regarding client meetings and schedules.
- Coordinate and facilitate virtual meetings through Zoom, Microsoft Teams and other conferencing platforms.
Administrative & Office Management
- Manage incoming and outgoing mail, courier services, and office correspondence.
- Coordinate with external vendors, service providers, and agencies for office-related requirements.
- Maintain office supplies and ensure smooth administrative operations across departments.
- Support travel bookings, logistics and other administrative requirements as needed.
Client Interaction & Support
- Assist clients by providing relevant information and directing them to the appropriate team members.
- Ensure all client queries are handled promptly, professionally, and efficiently.
- Maintain a high standard of client service and hospitality.
Office Coordination
- Coordinate with internal teams to ensure the smooth functioning of office operations.
- Assist with event coordination, meetings, and other administrative initiatives.
- Support the firm's day-to-day operational and administrative requirements.
Professional Standards & Conduct
- Maintain professional grooming, etiquette and presentation standards.
- Demonstrate punctuality, reliability, and a proactive approach to work.
- Handle confidential and sensitive information with discretion and professionalism.
Qualifications & Experience:
- Graduate in Office Administration, Business Administration, or a related field will be an added advantage.
- 4–6 years of experience as a Front Office Executive cum Admin, preferably in a law firm, consulting firm, or other professional services environment.
- Strong communication and interpersonal skills with a professional, client-focused approach.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and office management tools.
- Experience in office administration, vendor coordination, facility management, travel arrangements and general administrative support.
- Excellent organizational and multitasking abilities, with a high level of professionalism, discretion, and ability to handle confidential information.
Pay: ₹20,000.00 - ₹30,000.00 per month
