Job Summary
We are looking for an experienced and detail-oriented Senior Payroll Executive – Payroll & Compliance with 8–10+ years of hands-on experience in end-to-end payroll processing and statutory compliance.
The ideal candidate should have strong expertise in Keka HR/Payroll, payroll processing, statutory compliance, employee lifecycle management, payroll MIS, and coordination with HR, Finance, and Accounts teams.
The candidate will be responsible for independently managing monthly payroll, ensuring accurate salary processing, statutory compliance, payroll reconciliations, reports, and timely closure of payroll activities.
Key ResponsibilitiesEnd-to-End Payroll Management
- Manage the complete monthly payroll process from payroll inputs to final payroll closure.
- Process salaries accurately within defined timelines.
- Handle monthly payroll inputs including attendance, leave, overtime, incentives, bonuses, reimbursements, deductions, loans/advances, and new joiners/exits.
- Review and validate payroll inputs before processing.
- Perform payroll reconciliation and identify and resolve discrepancies.
- Ensure accurate calculation of gross salary, deductions, net salary, and full & final settlements.
- Handle payroll for a large employee base independently.
Keka HR & Payroll Management
- Strong hands-on experience in Keka HR & Payroll is mandatory.
- Manage employee master data, salary structures, attendance, leave, payroll inputs, and payroll processing through Keka.
- Configure and maintain salary components, deductions, reimbursements, and payroll-related settings in Keka.
- Generate payroll reports, salary registers, payslips, and MIS from Keka.
- Manage payroll workflows and ensure timely completion of payroll activities through Keka.
- Coordinate with Keka support/team for system-related issues, enhancements, and troubleshooting.
- Ensure proper integration and reconciliation of payroll data between Keka and accounting/finance systems.
- Should be capable of independently handling the complete payroll cycle on Keka.
Statutory Compliance
- Ensure timely and accurate compliance with applicable statutory requirements.
- Handle PF, ESIC, Professional Tax (PT), TDS, Labour Welfare Fund (LWF) and other applicable payroll compliances.
- Prepare and validate statutory challans, returns, registers, and reports.
- Ensure accurate monthly statutory deductions and payments.
- Coordinate with consultants, government authorities, auditors, and internal stakeholders wherever required.
- Stay updated with changes in payroll-related labour laws and statutory regulations.
Payroll MIS & Reporting
- Prepare monthly payroll reports, salary registers, variance reports, and management MIS.
- Prepare payroll cost analysis and employee-wise payroll reports.
- Conduct month-on-month payroll variance analysis.
- Provide payroll data and reports to HR, Finance, Accounts, and management.
- Maintain accurate payroll documentation and records for audit purposes.
Employee Lifecycle Management
- Manage payroll-related activities for new joiners, transfers, promotions, increments, and exits.
- Process Full & Final Settlement (F&F), including salary, leave encashment, deductions, notice pay, gratuity-related inputs, and other applicable components.
- Ensure timely release of final settlement and exit-related payroll documents.
- Resolve employee queries related to salary, deductions, payslips, PF, ESIC, TDS, and other payroll matters.
Audit & Internal Controls
- Support internal, statutory, and payroll audits.
- Maintain proper payroll records and documentation.
- Ensure payroll processes comply with company policies and statutory requirements.
- Identify process gaps and implement improvements to improve payroll accuracy and efficiency.
Required Skills & Qualifications
- Bachelor's degree in Commerce, Finance, HR, or a related field.
- 8–10+ years of hands-on experience in payroll processing and statutory compliance.
- Strong and practical experience in Keka HR & Payroll is mandatory.
- Excellent knowledge of PF, ESIC, PT, TDS, LWF and payroll-related statutory compliances.
- Strong understanding of Indian payroll processes and applicable labour laws.
- Experience in handling end-to-end payroll independently.
- Advanced proficiency in MS Excel, including Pivot Tables, VLOOKUP/XLOOKUP, formulas, reconciliation, and MIS reporting.
- Experience in payroll reconciliation and variance analysis.
- Strong analytical and problem-solving skills.
- Excellent attention to detail and accuracy.
- Good communication and stakeholder-management skills.
- Ability to manage confidential employee and payroll information.
- Ability to work independently and meet strict payroll deadlines.
Preferred Candidate
- Candidate with 8–10+ years of strong payroll experience.
- Extensive hands-on experience with Keka HR & Payroll.
- Experience handling payroll for a mid-sized or large employee base.
- Strong knowledge of statutory payroll compliance and labour laws.
- Experience in payroll audits, reconciliations, MIS, and process improvements.
- Someone who can independently take ownership of the complete payroll function.
- Immediate joiners / candidates with short notice period will be preferred.
