Role Purpose:
Responsible for managing and overseeing employee absence processes, ensuring compliance with company policies, legal regulations, and best practices. This role involves administering absence-related cases, providing support to both employees and managers, and ensuring a fair and consistent approach to absence management.
Designation: SPECIALIST – PEOPLE OPERATIONS - Global Service Centre
Base Location: Chennai
Reporting to: Senior Manager - HR Operations and D&I – DDW • People Dept.
Key Role Responsibilities:
Process and administer employee leave requests, including but not limited to annual leave, work from Home, sick leave, medical leave, maternity leave and unpaid leaves in line with DDW leave policies.
Verify leave eligibility, balances, and supporting documentation.
Ensure leave transactions are processed accurately and within defined timelines.
Maintain up-to-date absence records in the HR system.
Update and maintain employee absence data in HRIS/Workforce Management systems.
Monitor workflow approvals and follow up on pending leave requests.
Ensure data accuracy and completeness within the system.
Assist in system testing and validation during HR system enhancements
Track employee attendance and absence patterns.
Monitor excessive, recurring, and long-term absences and report findings to the HR team.
Support absence review processes and provide required documentation.
Escalate exceptions, discrepancies, and non-compliance cases as required
Respond to employee and manager inquiries regarding leave policies, leave balances, and absence procedures.
Provide guidance on absence management processes and required documentation.
Generate regular absence, attendance, and leave utilization reports.
Support workforce reporting requirements through accurate data extraction and analysis.
Identify trends and anomalies in absence data.
Assist in preparing management dashboards and HR metrics.
Verify and maintain supporting documents such as medical certificates and leave applications.
Ensure accurate filing and archiving absence-related records.
Maintain audit-ready files and documentation.

Technical Competencies:
Sound knowledge and experience in Absence Management Administration
Experience in Leave and Attendance Tracking
Proficiency in HRIS (SAP SuccessFactors, Oracle HCM, Workday, etc.)
Proficiency in HR Data Management
Proficiency in Reporting & Analytics
Proficiency in Microsoft Excel.
Behavioural Competencies:
Education & Qualifications:
Bachelor’s degree in human resources, Business Administration, or related field.
Master’s degree will be added advantage.
Minimum 3 – 5 years of experience in employee relations or absence management.
Strong understanding of employment laws (UAE and Indian) and regulations related to absence, leave entitlements, and employee well-being.
Proficiency in Microsoft Office applications.
Proficient MS Office and any ERP systems – Oracle, IFS.
