The PitchBook team performs web-based research and utilizes technology tools to capture hard-to-find data on private capital markets, including venture capital, private equity, and mergers and acquisitions (M&A). This information allows PitchBook’s customers, such as venture capital firms, private equity firms, limited partners, investment banks, law firms and accounting firms, to discover emerging companies, conduct research on potential investment opportunities and gain a competitive edge in investment decision-making and negotiations.
As an Associate Project Specialist, Office Experience, you will play a pivotal role in shaping and enhancing the workplace environment at PitchBook Mumbai. Primary Job Responsibilities:
- Lead PBM branding, refurbishment, and workplace enhancement initiatives.
- Drive workplace improvements that strengthen employee experience and company culture.
- Conduct workplace audits and readiness checks across PBM spaces.
- Manage seating, space planning, meeting rooms, common areas, and workplace standards.
- Identify, track, escalate, and close facilities and operational issues.
- Coordinate facilities concerns across lighting, lifts, access, infrastructure, and meeting rooms.
- Track tickets, recurring issues, resolutions, and employee feedback.
- Partner with Morningstar Facilities and stakeholders to drive improvements.
- Manage PBM digital signage, TVs, black boxes, and related infrastructure.
- Coordinate workplace technology requirements, troubleshooting, assets, and rollouts with IT and Infrastructure.
- Provide workplace and logistics support for employee events and flagship programs.
- Coordinate space, furniture, equipment, vendors, security, access, and post-event restoration.
- Manage SWAG planning, procurement, inventory, storage, distribution, and gifting.
- Oversee workplace assets, storage, replacements, movement, and disposal.
- Support business travel, visa coordination, and global-readiness requirements.
- Track requests and drive pending actions to closure.
- Support BCP, GIH, office readiness, contingency planning, and related operational requirements.
- Act as Fire Marshal and support safety drills and protocols.
- Develop workplace communications, employee guidance, and quarterly workplace updates.
- Communicate operational changes and workplace improvements effectively.
- Coordinate workplace procurement, vendor management, timelines, and escalations.
- Act as a key point of contact across PitchBook, Morningstar, Facilities, Procurement, Finance, IT, Infrastructure, and Communications.
- Maintain operational trackers, reporting, risks, dependencies, and actions through closure.
- Support visitor management and other workplace, facilities, and business operations initiatives as required.
Skills and Qualifications:
- 3+ years of experience in Office Administration, Facilities preferred.
- Proactive and solution oriented - anticipates needs and takes initiative.
- Ability to work independently while effectively managing multiple tasks.
- A “hands-on, no job is too big or too small” attitude, anticipating needs in advance and ensuring preparations are made for smooth execution.
- Strong organizational skills, including effective time management and prioritization.
- Ability to remain adapt in a constantly evolving environment.
- Strong follow-through with the ability to track issues, actions, and dependencies through completion.
- Sound judgment with the ability to identify when issues require escalation.
- Bachelor’s degree or equivalent experience preferred.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel) with the ability to quickly learn new systems and software.
