Job Description: HR & Administration Executive

Role Overview
The HR & Administration Executive is responsible for managing end-to-end Human Resources operations, Industrial Relations, Administration, and Compliance activities at the plant. The role ensures workforce readiness, statutory compliance, efficient facility operations, and a positive employee environment aligned with Siemens standards.

Key Responsibilities
1. Human Resources
- Execute manpower planning and timely recruitment of operators, technicians, service engineers, contract labour, and shop-floor employees
- Maintain employee lifecycle records including onboarding, documentation, and exit formalities
- Manage attendance, leave, overtime, and shift scheduling records
- Coordinate payroll inputs and ensure accuracy with payroll teams
- Oversee contract labour deployment, documentation, and compliance
- Ensure adherence to labour laws and statutory requirements
- Address employee grievances and maintain a healthy work environment
- Support recruitment processes including sourcing, interviews, and joining formalities
- Coordinate employee training, skill development, and upskilling initiatives
- Drive employee engagement activities and welfare programs
- Maintain HR MIS, reports, dashboards, and analytics
- Support performance management and appraisal processes
- Coordinate disciplinary actions in line with company policies

2. Industrial Relations (IR)
- Maintain harmonious industrial relations and ensure a positive shop-floor climate
- Coordinate closely with labour contractors and union representatives (if applicable)
- Ensure compliance with Contract Labour Act and other statutory requirements
- Assist during labour inspections, audits, and statutory verifications

3. Administration
- Manage housekeeping, security, canteen, and facility operations
- Ensure upkeep and maintenance of office and factory infrastructure
- Monitor office equipment, utilities, furniture, and consumables
- Manage procurement and availability of stationery and admin supplies
- Coordinate guest visits, meetings, and event arrangements
- Oversee facility maintenance, vendor management, and AMC contracts
- Coordinate pest control, waste management, and cleanliness activities
- Ensure availability of employee amenities including pantry, drinking water, and welfare facilities

4. Compliance & Safety
- Support compliance with Factory Act and related statutory frameworks
- Coordinate renewals of licenses, permits, and statutory approvals
- Assist during inspections by Factory Inspector, Labour Department, MPCB, Fire Department, ESIC, EPF authorities
- Maintain statutory registers, records, and compliance documentation
- Support EHS, POSH, and safety awareness initiatives
- Coordinate employee health programs including medical check-ups and wellness camps

Preferred Qualifications
- Bachelor’s/Master’s degree in HR / IR / Personnel Management
- 3–8 years of experience in manufacturing/factory HR role
- Exposure to compliance audits, labour inspections, and plant administration
