Job Purpose
The Personal Secretary to the Director will be responsible for providing high-level administrative and executive support by managing schedules, coordinating meetings, handling confidential information, and ensuring seamless communication between departments and business associates. The role requires excellent organizational skills, strong follow-up abilities, and flexibility to travel between company location.
Key Responsibilities
- Manage the Director's calendar, appointments, meetings, and daily schedule.
- Handle emails, phone calls, correspondence, and confidential documents.
- Coordinate meetings, prepare agendas, and record Minutes of Meetings (MOM).
- Prepare reports, presentations, MIS, and business documentation.
- Coordinate with internal departments, clients, vendors, and business associates.
- Arrange travel, accommodation, and meeting logistics for the Director.
- Follow up on pending tasks, approvals, and project updates.
- Maintain confidential records, contracts, and important company documents.
- Assist the Director with business, administrative, and personal assignments.
- Travel between Andheri, Borivali, and Palghar offices as per business requirements.
Skills & Knowledge Requirements
- Experience: 3–5 years as a Personal Secretary, Executive Assistant, or similar role.
- Industry: Experience in Pharmaceutical Distribution, Logistics, or Supply Chain will be preferred.
- Communication: Excellent verbal and written communication skills in English.
- Software: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Coordination: Strong organizational, follow-up, multitasking, and time management skills.
- Professionalism: Ability to handle confidential information with discretion and maintain a high level of professionalism.
- Travel: Willingness to travel regularly between Borivali, Andheri, and Palghar based on business requirements.
Qualification
- Bachelor's Degree in any discipline.
- Additional certification in Executive Assistance, Administration, or Secretarial Practice will be an added advantage.
- Experience in the Pharmaceutical Distribution industry will be preferred.
Pay: ₹20,000.00 - ₹30,000.00 per month
