Organization Background:
Scientific data and information are core assets of Eli Lilly and Company (“Lilly”). Providing balanced, objective, and accurate information to regulators, the scientific community, healthcare professionals (HCPs), payers, and patients across the drug development lifecycle is fundamental to Lilly’s mission.
Global Content Hub (GCH) is a part of Global Commercial Capabilities and Innovation organisation and houses plethora of capabilities that help deliver impactful, scalable content that empowers informed decision making across the healthcare spectrum dedicated to crafting top-tier promotional/non-promotional materials for healthcare professionals (HCPs), patients, and payers.
Position Description:
The Medical Project Owner (MedPO) is responsible for coordinating and tracking the end-to-end execution of medical and scientific content projects within Eli Lilly’s Global Content Hub. Operating at the intersection of project execution, workflow coordination, and operational visibility, this role ensures that projects move efficiently through initiation, development, review readiness, approval milestones, and closure.
The MedPO serves as the execution lead after project kickoff, working closely with Functional PMs, content teams, DRM, MCA teams, and other stakeholders to maintain progress, resolve blockers, and improve milestone visibility. The role holder coordinates deliverable movement through Medical-Legal-Regulatory-Operational (MLRO) review workflows in Veeva and across Adobe Workfront, ensuring that dependencies are tracked, handoffs are clean, and cycle times are minimized.
This role strengthens execution discipline so that Functional PMs can focus on planning, stakeholder engagement, and strategic alignment. The role is introduced as part of an evolving operating model and will continue to be refined based on pilot learnings.
Key Objectives/Deliverables:
Execution Tracking & Lifecycle Coordination
-
Drive execution tracking across the full project lifecycle after kickoff — from initiation through development, review readiness, approval, and closure — ensuring every stage is documented and progressing within agreed SLAs
-
Monitor milestone progression for both end-to-end and mid-way projects depending on business needs, maintaining real-time visibility into deliverable status, scope, and stage transitions
-
Identify delays, dormant projects, and emerging risks early; drive timely follow-ups and corrective actions to keep projects on track and minimize cycle-time delays
-
Maintain the MCA Internal Tracker, daily planner, and supporting logs with up-to-date status, assignment data, and milestone updates — targeting 100% accuracy in project records
-
Track deliverable turnaround against defined SLAs and surface bottlenecks that could impact downstream review or approval timelines
Workflow Coordination & Handoff Management
-
Coordinate workflow movement across Adobe Workfront, Veeva Vault, and supporting tools — ensuring smooth transitions between development, review, and approval stages
-
Facilitate handoffs between writers, designers, DRM, MCA, QMR, Content Editors, and other stakeholders, ensuring each party has the inputs and context needed to proceed without delays
-
Route deliverables through Veeva for parallel MLRO review where applicable, minimizing sequential bottlenecks and supporting efficient processing
-
Ensure alignment on timelines, dependencies, and next steps across all involved teams; proactively flag misalignments or unclear scope before they impact execution
-
Assign and allocate deliverables to appropriate stakeholders during daily standups based on bandwidth, priority, and scope — ensuring prompt allocation within 24 hours
Project Setup & System Readiness
-
Create and manage project structures in Adobe Workfront, ensuring all projects are initiated with the required metadata, workflow templates, and system readiness for execution
-
Support Veeva placeholder creation as part of execution setup, in alignment with the evolving operating model and compliance requirements
-
Maintain trackers, logs, and status dashboards with high accuracy to provide a single source of truth for project visibility across the team and leadership
-
Ensure project setup reflects accurate scope, deliverable type, business unit alignment, and expected timelines — enabling downstream reporting and KPI measurement
Stakeholder Coordination
-
Work closely with Functional PMs, BU leads, content owners, GCH teams, DRM, and MCA teams to ensure alignment on execution priorities, deliverable timelines, and quality expectations
-
Support alignment across GCH, TPO, and affiliate workflows where applicable — bridging operational gaps and ensuring cross-team dependencies are surfaced early
-
Surface missing inputs, unclear scope, and dependency gaps proactively; collaborate with Deliverable Owners and Operations teams to resolve issues promptly
-
Participate in standups, planning sessions, and working meetings to maintain execution flow, provide status updates, and coordinate next steps across distributed teams
-
Provide subject matter guidance to assigned business units on execution workflows, tool usage, and lifecycle processes
Visibility, Escalation & Reporting
-
Maintain clear, real-time visibility of project status, risks, and bottlenecks through structured tracking, dashboards, and regular status updates
-
Escalate delays, missing dependencies, or workflow issues through defined channels to Functional PMs, BU leads, and leadership — ensuring no critical blocker goes unaddressed
-
Provide regular execution updates to stakeholders and leadership, including progress against milestones, risk summaries, and forecasting trends
-
Support pilot reporting through structured tracking and actionable insights — translating execution data into recommendations for process and operating model refinement
-
Drive KPI reporting discipline across assigned scope, pulling and presenting metrics on a weekly/monthly cadence to support evidence-based decision-making
Continuous Improvement & Pilot Evolution
-
Identify workflow inefficiencies, duplication risks, and execution bottlenecks; recommend and implement targeted process improvement initiatives to enhance throughput and reduce rework
-
Capture structured learnings on where the MedPO role adds the most value and where adjustments are required — feeding insights back into the operating model evolution
-
Support refinement of the operating model based on pilot outcomes, stakeholder feedback, and performance data
-
Contribute to playbooks, best practices, SOPs, and standardization efforts that codify execution excellence and enable scalable onboarding of new team members
-
Drive a continuous improvement mindset across the team by facilitating knowledge-sharing sessions, lessons-learned reviews, and cross-BU benchmarking discussions
Required Skills & Competencies:
-
Strong execution tracking and project coordination across multiple concurrent projects, dependencies, and stakeholders
-
Hands-on experience with Adobe Workfront and Veeva Vault workflows (project setup, deliverable routing, milestone tracking, and reporting)
-
Understanding of the medical content lifecycle and review workflows, including MLR/MCA context, MLRO parallel review, and DRM/approval stage dependencies
-
Familiarity with medical affairs content types (scientific publications, medical education, presentations, digital collateral) and relevant pharmaceutical regulatory/CIQ standards
-
Demonstrated prioritization, follow-through, and escalation discipline; SLA management and turnaround-time optimization
-
Risk identification and mitigation within compliance-driven delivery workflows; comfortable operating in evolving and pilot environments
-
Strong cross-functional communication with Functional PMs, content owners, operations teams, DRM, MCA, and BU leadership
-
Ability to manage expectations, surface issues diplomatically, and influence outcomes without overstepping role boundaries
-
Proficiency with reporting tools (Excel, Power BI, dashboards) and ability to translate execution data into actionable insights
-
Continuous improvement mindset with the ability to drive process enhancements, contribute to playbooks, and support team capability development
Minimum Qualification Requirements:
-
Minimum 3 years of hands-on experience in Content Operations, Project Management, Process Management, and Agile methodologies
-
High degree of proficiency with tools and software associated with Content Operations and Project Management
