This role is the COO's operational nerve centre. The Chief of Staff sees everything, synthesises it, and flags it before it becomes the COO's problem. They are not an assistant they are an operator with authority.
Why This Role Exists
As the Chief of Staff, your primary responsibility is to ensure the COO always has a clear, accurate, and actionable view of the organisation's operational health across two entities comprising 242 employees.
In this role, you will own the process of collecting, consolidating, and synthesising insights from weekly pulse reports, fortnightly cluster reviews, monthly business reviews, and quarterly OKR assessments. Rather than allowing the COO to spend valuable time chasing updates, you will ensure all required information is submitted on time, highlight gaps or risks, and hold leaders accountable for incomplete or delayed inputs.
Your work will enable the COO to focus on strategic decision-making by providing timely, reliable, and well-structured operational insights while driving accountability and execution across the leadership team.
What You Will Own
Weekly OLL Pulse (Primary Responsibility)
– Own end-to-end collection of status submissions from all leaders every Friday by 5pm
– Follow up immediately, not next Monday with any leader who has not submitted by the deadlin]
– Quality-check every submission: flag vague statuses, missing one-line blocker notes, or KPIs that have not moved in three or more weeks without explanation
– Produce a single-page COO Weekly Brief every Friday evening, synthesised, not just compiled, ready for COO review before Monday
– Surface inconsistencies: if a leader reports Green on a KPI but the supporting data suggests otherwise, flag it
Meeting & Review Infrastructure
– Prepare agendas, pre-reads, and scorecards for fortnightly cluster reviews (tech, delivery, enabling)
– Prepare the monthly full review, scorecard summary, trend analysis, cross-team blockers
– Track all action items from every review: owner, deadline, and status, follow up proactively, not reactively
– Ensure the COO never walks into a review without a complete briefing pack
Data Integrity & Baseline Tracking
– Coordinate to ensure all KPI baselines are submitted within the first 30 days of team leads activation
– Flag any KPI entering the weekly pulse tracker without a confirmed baseline escalate to COO
– Maintain the master dashboard: KPI trends, RAG history, action item log
– Identify patterns: a leader who is consistently Amber on the same KPI, or a cluster of Reds that point to a systemic issue
Institutional Accountability
– Hold the system, not the people when a leader does not submit data, escalate to the COO as a process failure, not a personal one
– Do not soften Red statuses because a leader has provided context log accurately, let the COO decide
– Maintain confidentiality of individual scorecards while ensuring the COO has a complete picture
What You Do Not Own
– You do not make operational decisions; you enable the COO to make them faster and better
– You do not manage OLL leaders; you coordinate with them and hold them to the system
– You do not attend client meetings or own any delivery KPIs
Who We Are Looking For
Must-Have Experience
– 3–5 years in a PMO, operations analyst, business analyst for a product company in B2B, or executive support role, specifically where you had to extract accurate information from people more senior than you
– Experience producing executive-level reports: synthesised, clean, and useful; not just data dumps
– Experience managing action items and holding people accountable to deadlines in a structured way
Skills
– Data synthesis, the ability to read all status updates and produce one coherent paragraph that tells the COO exactly what matters
– Pattern recognition spotting when something does not add up across multiple data points
– Structured written communication which is clean, and precise without fillers
– Spreadsheet proficiency, maintaining dashboards, tracking trends, flagging anomalies
– Calm under pressure, able to chase a leader for data without it becoming confrontational
