Job Description
The ideal candidate will be responsible for a range of activities which will assist this organization's leadership. In this position, you should feel comfortable coordinating calendar appointments, managing communications, and planning events, as necessary.
Responsibilities
- Manage executive's time by reading, researching, and routing correspondence with little or no guidance; collecting and analyzing information; initiating communications
- Answering and directing phone calls
- Providing administrative assistance, such as writing and editing e-mails, drafting memos, letters, documents and initiating and preparing communications on the executive's behalf
- Calendar management, travel arrangements, expense reporting, and meeting coordination, able to travel alongside the executive to take meeting minutes and perform administration activities during travel
- Act as a liaison, problem-solver, facilitator and first point of contact between various parties such as vendors, contractors, site supervisors, hotel operator, architects, designers, department heads, etc.
- Generate presentations and reports including creating graphs and spreadsheets
- Coordinates projects by capturing timelines and strategies and delivering progress updates
- Prepares meeting rooms for appointments, coordinates schedules, and greet customers and clients prior to meetings.
- Effectively prioritize the needs of the Executive office, manage requests, and prioritization of administrative activities.
- Run personal and corporate errands as necessary
- Manage a high-volume travel schedule.
- Keeps, prepares, and distributes minutes of meetings.
- Is a spokesperson for the executive on all matters
- Research, digest, analyze and present material clearly and concisely
- Assist with all other administrative duties as assigned

Qualifications
- Bachelor's degree or equivalent (MBA preferred)
- Ability to handle multiple tasks while staying organized
- Ability to travel

- Ability to interact with high profile clients and executives
- Very strong follow up, research and reporting skills
- Must be proficient with a variety of computer software applications in word processing, spreadsheets, database and presentation software, especially Microsoft Office Suite: Word, Outlook, Excel, and PowerPoint.
- Adapts well to changing plans and priorities, comfortable dealing with ambiguity
- Maintains strict confidentiality standards, absolute discretion, and appropriate handling of highly sensitive information
- Able to work fluctuating hours and travel within India for meetings and activities alongside the executive
- Works well independently with minimal guidance, as well as part of a collaborative team and assume additional responsibilities as require
- Able to thrive while working in a dynamic, fast paced environment
