1. Patient and Visitor Management:
- Greet and welcome all patients and visitors in a warm and professional manner.
- Answer, screen, and forward incoming phone calls, taking messages as needed.
- Manage patient appointments, including scheduling, rescheduling, and cancellations, using clinic management software.
- Check-in and check-out patients, verifying their personal and insurance information.
- Guide new patients through the registration process and ensure all necessary paperwork is completed accurately.
- Maintain a tidy and presentable reception area.
2. Administrative and Clerical Duties:
- Manage patient files, ensuring they are organized, up-to-date, and confidential.
- Process payments and issue receipts for consultations, procedures, and products.
- Maintain an inventory of office and clinic supplies and place orders when necessary.
- Handle incoming and outgoing mail and couriers.
- Assist with the preparation of daily reports and patient records.
3. Communication and Coordination:
- Act as a liaison between patients and the medical staff, including dermatologists, hair transplant surgeons, and nurses.
- Communicate with patients about pre- and post-procedure instructions, as advised by the medical team.
- Address patient queries, complaints, and concerns professionally and escalate them to the appropriate staff member when necessary.
- Maintain a professional and friendly demeanor in all interactions, both in person and over the phone.
