About the Role
Access Architects is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior management. The ideal candidate will be responsible for managing day-to-day executive activities, maintaining task records, tracking the progress of ongoing assignments, coordinating with various departments, conducting research, and ensuring the timely completion of all action items.
Key Responsibilities
Manage and coordinate the day-to-day activities of senior management.
Maintain a comprehensive task tracker, recording every assigned task along with its owner, priority, deadline, and current status.
Follow up regularly with internal teams to ensure timely completion of assigned tasks.
Prepare daily, weekly, and monthly status reports for management review.
Record Minutes of Meetings (MoMs) and monitor action items until closure.
Maintain organized records of correspondence, reports, project updates, and important documents.
Coordinate meetings, appointments, calendars, and travel arrangements, as required.
Assist in preparing presentations, reports, and management documents.
Ensure seamless communication between management and various departments.
Handle confidential information with the highest level of professionalism and discretion.
Identify delayed or overdue tasks, proactively follow up, and escalate critical issues to management whenever necessary.
Support senior management with administrative, operational, and coordination responsibilities.
Conduct market research, business research, competitor analysis, and industry intelligence to support management decision-making.
Leverage AI tools such as ChatGPT, Gemini, Claude, and similar platforms for research, content creation, analysis, documentation, and productivity enhancement.
Manage administrative tasks related to the Director's office while ensuring complete confidentiality and professionalism.
Demonstrate a proactive mindset, quick learning ability, curiosity, and strong problem-solving skills while handling new assignments.
Qualifications
Bachelor's degree in Business Administration, Commerce, Management, or a related field.
5–10 years of experience as an Executive Assistant, Executive Coordinator, or in a similar role.
Excellent verbal and written communication skills.
Strong organizational, planning, and multitasking abilities.
Proficiency in Microsoft Office (Excel, Word, PowerPoint, and Outlook).
Experience in maintaining task trackers, preparing reports, and coordinating with multiple teams.
Ability to work independently while effectively managing multiple priorities.
