A back office assistant provides administrative and operational support to ensure an organization runs smoothly behind the scenes. They are essential for bridging gaps between management and the front office, and their daily duties primarily revolve around data management, documentation, inventory control, and accounting support.
Core Responsibilities
- Data Entry & Management: Accurately inputting data, updating databases, and managing both physical and digital filing systems so company records are easily retrievable.
- Administrative Support: Handling daily office tasks such as printing, photocopying, responding to emails, drafting reports, and scheduling staff meetings.
- Inventory & Supplies Monitoring: Tracking stockpile levels, monitoring office supplies, negotiating with vendors, and placing orders to ensure workstations are fully equipped.
- Financial & Billing Support: Processing invoices, maintaining records of petty cash, handling company receipts, and updating financial documents.
- Interdepartmental Coordination: Assisting the sales, HR, or front-office teams by relaying messages, tracking information, and managing appointment calendars.
- Age criteria 18 to 29 years
Compliance & Security: Ensuring confidential information (such as employee details or financial data) remains secure and that company protocols are followed.
