Outlier Studio is a multidisciplinary architecture, interior design, and furniture design firm that delivers distinctive solutions for both residential and commercial projects. The studio focuses on merging traditional influences with contemporary design, creating spaces that reflect the unique needs and aspirations of each client. Its work is rooted in a highly personalized approach, ensuring that each project feels individual and thoughtfully crafted. In addition to design services, Outlier Studio collaborates closely with a dedicated network of contractors and craftspeople to execute projects on time and to a high standard. This integrated approach allows the team to translate the studio’s vision and clients’ ideas into functional, aesthetic realities.
The Job Description in one line:
You are the single point that keeps information moving between clients, site, studio, and factory — so that no decision, selection, or deadline ever slips through a WhatsApp group again. This is not a design role. It is the operational spine of the studio.
What you'll Own
- Client message intake: monitor all client WhatsApp groups and turn every actionable message into a logged task with an owner and a due date — within 2 working hours, always. Acknowledge each client so they know it's captured.
- Capturing decisions: log the outcomes of every meeting and site visit — selections, changes, and any timeline promised to a client — against the right project the same day.
- Running hand-offs: when a stage is marked complete, trigger the next step and notify the next person (e.g. a locked material selection unblocks purchasing, factory drawings, and 3D texturing; a completed trade on site releases the next trade).
- Keeping the board true: the project board reflects reality at any moment someone opens it. That is your responsibility.
- Client updates: send the weekly status update per active project — what progressed (with photos), what's pending and on whom, revised timeline if any.
- Chasing & escalating: politely push owners on overdue tasks; escalate anything needing design judgment to Shehazad, and anything client/commercial to Vidur or Ishita.
How you'll be measured
- No actionable client message sits unlogged for more than 2 working hours.
- The board reflects true status at any random spot-check.
- Every stage completion triggers the next hand-off the same day.
- Client updates go out on schedule, every project, no misses.
- Every timeline committed to a client is logged the day it's made.
Qualifications
- Graduate in any discipline. A design/architecture degree is not required and is not an advantage here.
- 1–4 years in a coordination, operations, project-coordination, client-servicing, or back-office role. Sector is flexible — architecture/interior studios, construction/real estate, event management, an agency's client-servicing desk, or an EA/operations role all transfer well.
- Fluent written and spoken English and Hindi. Non-negotiable — clients are on WhatsApp in English, the factory floor and many vendors work in Hindi.
- Comfortable with everyday apps — WhatsApp, Google Sheets, Trello, ClickUp and more. Must be able to learn a new app quickly; deep tech skill isn't needed.
Skills and Temprament
- Relentlessly organised — holds many parallel threads without dropping any.
- A natural follow-through person — chases people politely but persistently, and doesn't let things sit.
- Calm under interruption — this is an all-day, reactive job; someone who needs long quiet focus blocks will struggle and be unhappy.
- Detail-obsessed — notices the selection that wasn't passed on, the piece stuck between stages, the promise no one logged.
- Service-minded and ego-light — gets satisfaction from things running smoothly, not from a "creative" title or output.
- Clear, warm communicator — can tell a client "noted, this will be actioned by Friday" and a vendor "we needed this yesterday" in the same hour, without friction.
Nice to Have
- Exposure to interior/construction/fit-out workflow or furniture production.
- Prior use of a construction or project-management app.
- Client-facing experience.
