Job Summary
The Hospital Reception Staff serves as the first point of contact for patients and visitors. The role is responsible for providing courteous customer service, managing patient registration, scheduling appointments, handling telephone inquiries, maintaining accurate records, and ensuring smooth front office operations while upholding the hospital's standards of professionalism, confidentiality, and patient care.
Key Responsibilities
- Welcome patients, visitors, and attendants with courtesy and professionalism.
- Register new patients and update existing patient records accurately.
- Schedule, reschedule, and confirm outpatient appointments.
- Guide patients to the appropriate departments, consultants, and diagnostic services.
- Answer telephone calls promptly and respond to inquiries or direct calls to the concerned department.
- Coordinate with doctors, nursing staff, laboratory, pharmacy, billing, and other departments to ensure seamless patient flow.
- Verify patient details, insurance information, and required documents.
- Collect registration forms and ensure complete documentation.
- Maintain patient confidentiality in accordance with hospital policies.
- Handle billing-related queries and coordinate with the billing department when required.
- Manage appointment registers, reception records, and daily reports.
- Assist in handling patient complaints politely and escalate issues to the appropriate authority when necessary.
- Ensure the reception area remains clean, organized, and welcoming.
- Follow hospital policies, standard operating procedures (SOPs), and quality standards.
- Perform any other duties assigned by the Hospital Administration.
Required Qualifications
- Bachelor's Degree or Diploma in any discipline.
- Additional qualification in Hospital Administration or Front Office Management is preferred.
- Freshers with excellent communication skills may apply.
- Experience in a hospital or healthcare setting will be an added advantage.
Required Skills
- Excellent communication skills in Tamil and English.
- Knowledge of Hindi or Malayalam will be an added advantage.
- Strong interpersonal and customer service skills.
- Basic computer proficiency (MS Office, email, and hospital management software).
- Good typing speed and data entry accuracy.
- Ability to multitask and work efficiently under pressure.
- Professional appearance and positive attitude.
- Strong organizational and time management skills.
- Ability to maintain confidentiality and handle sensitive information.
- Teamwork and coordination skills.
Working Hours
- Rotational shifts, including weekends and public holidays, as per hospital requirements.
- Willingness to work in morning, evening, or night shifts.
Salary
- Salary will be commensurate with qualification, experience, and hospital policy.
