Job Summary
The person is responsible for managing front desk operations, handling
administrative tasks, and ensuring smooth day-to-day office functioning. The role
requires excellent communication skills, multitasking ability, and a professional
approach.
Key Responsibilities
Front Office Duties
Greet and welcome visitors, clients, and employees professionally
Handle incoming calls, emails, and inquiries
Maintain visitor records and issue visitor passes
Manage reception area cleanliness and presentation
Administrative Support
Maintain office records, files, and documentation & stock management.
Coordinate courier, dispatch, and inward/outward registers
Assist in scheduling meetings and managing calendars
Support HR/admin in onboarding documentation
Office Management
Monitor office supplies and place orders when required
Coordinate with vendors and service providers
Ensure smooth functioning of office equipment (printer, internet, etc.)
Assist in organizing meetings, events, and travel arrangements
Coordination & Support
Support internal teams with administrative requirements
Follow up on tasks assigned by management
Maintain MIS reports and basic data entries
Coordinate shipment receiving, tracking, and dispatch of service materials, spare
parts, and equipment across locations.
Manage cargo collection from airports, courier offices, and logistics partners
and ensure timely delivery to customer sites.
Coordinate with courier partners (Blue Dart, Urban Cargo, etc.) for domestic
shipments.
Arrange cab bookings, hotel accommodations, and travel logistics for service
engineers and visitors.
Support service team with spare parts, UPS, tools, and material movement
requirements.
Prepare and update service invoices and coordinate dispatch of documents to
customers.
Coordinate customer meetings, service visits, and operational requirements.
Maintain records of shipments, deliveries, and service-related logistics
activities.
Coordinate with internal teams, customers, and vendors for timely execution of
service operations.
Required Skills & Qualifications
Graduate in any discipline
9 to 10 years of experience in logistics, dispatch, service operations, or
administrative coordination.
Good communication skills (English & Hindi)
Proficiency in MS Office (Excel, Word, Outlook)
Presentable personality and professional attitude
Good organizational and multitasking skills
Preferred Skills
Experience in handling vendors and office operations
Basic knowledge of HR processes
Familiarity with office management tools/software
Working Hours
[9:30 AM – 6:00 PM / As per company policy]
Monday to Saturday -6 Days Working
Pay: ₹700,000.00 - ₹800,000.00 per year
