Role Overview
We are looking for an exceptionally organized, proactive, and detail-oriented Administrative Assistant to support the day-to-day operations of Brain & Business.
This role requires a professional who can effectively manage administrative responsibilities, coordinate community activities, maintain operational systems, and ensure seamless communication across multiple platforms. The ideal candidate is highly dependable, technologically proficient, and capable of working independently in a fast-paced remote environment.
This position offers an excellent opportunity to work closely with a growing business strategy brand while gaining exposure to entrepreneurship, leadership, community building, and business operations.
Key Responsibilities
a. Community Management
- Manage and moderate WhatsApp communities and member groups.
- Ensure timely and professional communication with community members.
- Welcome and onboard new members effectively.
- Monitor discussions and maintain community standards.
- Respond to member inquiries and escalate issues when required.
- Support engagement initiatives that enhance member participation and retention.
b. Skool Community Management
- Manage and maintain the Skool platform.
- Upload resources, announcements, updates, and learning materials.
- Monitor member activity and engagement metrics.
- Coordinate community-related activities with internal stakeholders.
- Ensure content and communications remain organized and up to date.
c. Administrative Support
- Manage daily administrative tasks and operational follow-ups.
- Coordinate schedules, reminders, meetings, and internal communications.
- Maintain accurate records, documentation, and reports.
- Assist with project coordination and task tracking.
- Ensure deadlines and commitments are monitored and executed efficiently.
d. Systems & Software Management
- Manage and maintain internal software platforms and operational tools.
- Update CRM systems, databases, spreadsheets, and dashboards.
- Ensure data accuracy, consistency, and proper documentation.
- Support workflow implementation and process improvements.
- Identify opportunities to improve operational efficiency through systems and automation.
e. Social Media Coordination
- Schedule and publish approved content across designated platforms.
- Coordinate with content creators, designers, and editors.
- Monitor messages, comments, and engagement activities.
- Support audience engagement and community-building initiatives.
- Ensure content is published accurately and on schedule.
f. Brand & Communication Support
- Maintain consistency across all communications and member interactions.
- Ensure all messaging aligns with Brain & Business brand standards.
- Support the implementation of branding guidelines across platforms.
- Uphold a professional and premium experience for all members and stakeholders.
Qualifications Required:
- Bachelor's Degree in any discipline.
- Excellent spoken and written English. (Must)
- Excellent spoken and written Malayalam. (Must)
- Strong communication and interpersonal skills.
- Exceptional organizational and time-management abilities.
- High attention to detail and accuracy.
- Strong sense of ownership and accountability.
- Ability to manage multiple priorities simultaneously.
- Proficiency with digital tools, online platforms, and productivity software.
- Ability to work independently and effectively in a remote environment.
Preferred
- Previous experience as an Administrative Assistant, Executive Assistant, Operations Coordinator, or similar role.
- Experience managing WhatsApp Communities or online member groups.
- Experience using Skool or similar community platforms.
- Familiarity with CRM systems and productivity tools.
- Understanding of branding, digital marketing, or community management.
- Experience supporting founders, entrepreneurs, or leadership teams.
