awareness in rural and underserved areas. We work to strengthen community health systems
through education, outreach, and delivery of essential medical services, with a strong focus
on TB screening and early diagnosis.
Position Summary
The Data Entry Operator will be responsible for accurate and timely entry, verification, and
management of all TB patient and programme-related data and project MIS/databases. The
role requires close coordination with field health staff (ASHA, ANM, TB Health Visitors, and
Treatment Supervisors), strict confidentiality of patient information, and adherence to data
quality and reporting timelines under the TB Mukt Initiative.
Key Responsibilities
1. Data Entry & Management
- Enter, update, and maintain accurate records of TB patients (presumptive, diagnosed,
and under-treatment cases) and project MIS/database.
- Digitise field-collected data from registers, line-lists, screening camps, and household
surveys into the prescribed digital formats within set timelines.
- Cross-check and verify data against source documents (case sheets, lab reports,
treatment cards) to ensure 100% accuracy before final entry..
- Identify, flag, and correct data discrepancies, duplications, or missing entries in
coordination with field staff and supervisors.
Reporting & Documentation
- Generate routine and ad-hoc reports (daily, weekly, monthly, and quarterly) for project
monitoring, donor reporting, and management.
- Maintain organised hard-copy and electronic filing systems for all patient records,
consent forms, and project documentation, ensuring easy retrieval and audit-readiness.
- Support the Project Coordinator/M&E team in compiling data for Data Quality Audits
(DQA), supervisory visits, and review meetings.
- Prepare and maintain backups of all processed data (soft and hard copies) to prevent
data loss.
Coordination & Field Support
- Liaise regularly with ASHA workers, ANMs, TB Health Visitors, Treatment
Supervisors, and District/State TB Officers for timely and complete data collection.
- Provide data-related support during TB screening camps, awareness drives, and
community outreach activities organised under the project.
- Communicate data gaps, inconsistencies, or reporting issues promptly to the
supervisor for corrective action.
- Assist the project team with other administrative and documentation tasks as required
Confidentiality & Compliance
- Maintain strict confidentiality and ethical handling of all patient and beneficiary
information at all times, in line with project and government data protection protocols.
- Ensure all data management practices comply with NTEP guidelines, Ni-kshay
protocols, and Ashray Foundation's internal data policies.
Key Skills & Competencies
- High level of accuracy and attention to detail in data handling.
- Good typing speed (English/Hindi; knowledge of local Sikkimese languages such as
Nepali is an advantage) with minimal errors.
- Proficiency in MS Office (Excel, Word) and comfort working with online government
health portals (Ni-kshay or similar).
- Strong organisational and time-management skills to meet reporting deadlines.
- Good communication and interpersonal skills to coordinate with field health staff and
communities.
- Ability to maintain confidentiality and handle sensitive health information
responsibly.
- Willingness to travel within the assigned district/block in Sikkim for field-linked data
verification, when required.
Qualifications & Experience
- Minimum 10+2 (Higher Secondary); Graduate in any discipline preferred.
- Certificate/Diploma in Computer Applications, Data Entry, or related field preferred.
- Minimum 1–2 years of experience in data entry; prior experience in a health/TB
programme, NGO, or government health project will be an added advantage.
- Typing speed: Minimum 30 wpm.
- Preference will be given to local candidates from project districts.
Pay: Up to ₹20,000.00 per month
