We are looking for a highly proactive Facility Manager who can ensure smooth day-to-day operations while delivering an exceptional experience to every client visiting our venue.
Job Summary
The Facility Manager will be responsible for overseeing the overall facility operations, event execution, vendor coordination, basic accounting, and client experience at the venue. This role requires someone who is organized, energetic, customer-focused, and capable of managing multiple responsibilities in a fast-paced startup environment.
The ideal candidate should be well-groomed, confident, and possess excellent communication and interpersonal skills, as they will frequently interact with clients during venue visits and support the sales process.
Key Responsibilities:
- Conduct venue tours, support sales conversations, and deliver an exceptional client experience.
Facility & Operations Management
- Oversee the day-to-day operations of the entire facility.
- Ensure cleanliness, maintenance, safety, and operational readiness of all areas.
- Conduct routine inspections and coordinate repairs and preventive maintenance.
- Ensure all equipment and infrastructure remain operational.
Event Operations
- Supervise operational execution of birthday parties, corporate events, school visits, and special events.
- Coordinate with internal teams to ensure timely setup and smooth event flow.
- Resolve operational issues quickly during events.
- Ensure every event meets BotFit's quality and service standards.
Vendor Management
- Monitor vendor performance and ensure timely deliveries and quality standards.
- Maintain vendor records and payment schedules.
Accounting & Administration
- Maintain operational expense records, vendor invoices, coordinate payments and track petty cash
Client Experience & Venue Visits
- Conduct professional venue walkthroughs for prospective clients.
- Explain venue features, packages, and event possibilities confidently.
- Support the sales team in converting venue visits into bookings.
- Maintain a polished, welcoming, and professional presence at all times.
Required Skills & Qualifications
- Bachelor's degree in Hospitality, Business Administration, Event Operations, Facility Management, or a related field.
- 2+ years of experience in facility management, hospitality, event operations, or venue management.
- Experience managing vendors and coordinating events.
- Basic accounting and expense management knowledge.
- Strong organizational and multitasking abilities.
- Excellent problem-solving skills.
- Ability to work under pressure and manage multiple priorities simultaneously.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.

The Facility Manager will be required to remain present at the venue during event hours, including evenings, late-night events, weekends, and holidays, as operational requirements may demand.
The role requires hands-on supervision of event operations, vendor coordination, client support, and issue resolution throughout the duration of the event. Flexibility in working hours and availability during extended or night-time events are essential expectations of this position.
