Job Summary
The Purchase Executive is responsible for procuring food, beverages, housekeeping supplies, engineering materials, guest amenities, linen, and other operational items required for smooth hotel operations. The role focuses on ensuring timely procurement, maintaining quality standards, optimizing costs, and developing reliable vendor relationships while complying with hotel procurement policies.
Key ResponsibilitiesProcurement & Sourcing
- Source quality products and services at competitive prices.
- Obtain quotations from multiple suppliers and conduct price comparisons.
- Prepare and process Purchase Orders (POs) based on approved purchase requisitions.
- Ensure timely delivery of materials to avoid operational disruptions.Documentation & Compliance
- Maintain purchase records, quotations, contracts, invoices, and supplier databases.
Cost Control
- Ensure compliance with hotel procurement policies, audit requirements, and food safety standards.
- Assist during internal and external audits.
- Generate procurement and cost analysis reports.
- Vendor Management
- Identify, evaluate, and onboard reliable vendors.
Inventory Coordination
- Negotiate prices, payment terms, and delivery schedules.
- Maintain vendor performance records and establish long-term supplier relationships.
- Conduct periodic market surveys for new products and suppliers.
- Coordinate with Stores, Kitchen, Housekeeping, Engineering, and F&B departments regarding material requirements.
- Monitor stock levels to prevent shortages and overstocking.
- Verify received goods for quantity, quality, and specifications.
- Coordinate with the receiving department for proper documentation
- Required Qualifications
- Bachelor's degree in Commerce, Business Administration, Hospitality Management, Supply Chain, or a related field.
- 2–5 years of purchasing experience, preferably in the hotel or hospitality industry.
- Knowledge of hotel procurement processes and inventory management.
- Proficiency in MS Excel and ERP/Purchase software (e.g., SAP, Oracle, Material Control, Petpooja, or similar systems).
- Strong negotiation, analytical, and communication skills.
Pay: ₹20,000.00 - ₹25,000.00 per month
