Responsibilities: Customs & Documentation Specialist
Process Associate / Senior Process Associate – Bangalore
Main Job Purpose
The Customs & Documentation Specialist is responsible for the end-to-end preparation of customs declarations and export/shipment documentation, ensuring smooth, compliant, and audit-proof movement of goods. The role combines customs declaration management (UK & DE export declarations, transit documents, supplementary declarations) with shipping documentation responsibilities (collection, sharing, and storage of export documents), acting as the single point of contact for customs- and documentation-related issues across factories, logistics, planning, procurement, dispatch, and sourcing teams.
Key Responsibilities
Customs Declarations
-
Prepare and file UK & DE export declarations.
-
Prepare and file transit documents for UK exports.
-
Prepare and file Supplementary Declarations for UK imports.
-
Monitor shipment progress and resolve any customs documentation issues that arise.
-
Control proofs of exit and liaise directly with Customs Authorities.
-
Manage and control customs declarations from a legal and compliance perspective (audit-proof).
-
Act as first point of contact (FPOC) for any customs-related issues for factories, logistics, planning, procurement, and customs teams.

Perform data quality checks on all submitted declarations.
Shipping & Export Documentation

Collect and prepare all shipping documentation for the movement of products from Supply Units to destination markets.

Share digital and paper documents with clients in a timely manner.
-
Ensure documents are ready and accurate ahead of shipment deadlines.
-
Ensure secure storage of documentation and its availability for audits.
-
Ensure correct priority is given to transport based on customer service needs.
-
Carry out ad-hoc activities related to customs and documentation processes.

Work in close cooperation with the Dispatch team, Sourcing Units, Ultra Logistics team, and Customs.
Shift & Coverage (entry-level roles)

24/7 shift working pattern.

Stand-by duty during post-working hours (nights and weekends), as required by role level.
Minimum Qualifications
-
Experience in customs, foreign trade, logistics, finance, planning, or procurement.
-
Strong Excel skills.
-
Basic to working knowledge of customs processes.
-
Good communication in English – both oral and written; able to communicate effectively with all levels of management and peers.

Organizational awareness and good skills in planning own workload.
-
University degree (minimum Bachelor).
-
For senior / bilingual roles: an additional European language (e.g., German) at a professional working level.
Preferred Qualifications / Skills
-
Knowledge of SAP & SAP GTS – an advantage.
-
Self-motivated and independent personality with strong problem-solving skills.
-
Good understanding of supply chain and supply planning business drivers.
-
Well-developed interpersonal and communication skills.
-
Ability to work under time pressure and quickly set priorities.
-
Another European language is an asset.
-
Experience in supply planning or logistics is an asset.
-
Advanced MS Excel.

For Team Leader track: minimum 2 years' experience in team management.
