1. Reception & Visitor Management
- Welcome employees, candidates, vendors, and other visitors professionally.
- Manage the reception desk and maintain a professional first impression.
- Verify visitors and coordinate with the concerned department.
- Maintain visitor records and issue visitor passes/access cards where applicable.
- Handle meeting-room bookings.
2. Telephone & Email Handling
- Answer and route incoming calls to the appropriate departments.
- Handle general inquiries professionally.
- Receive and respond to routine emails.
- Take accurate messages and ensure timely follow-up.
3. Administrative Support
- Manage incoming and outgoing courier, mail, and documents.
- Maintain office records, registers, and basic reports.
- Prepare letters, forms, and other administrative documents.
- Maintain office supplies and coordinate replenishment.
- Assist with printing, scanning, photocopying, and document filing.
4. Employee Support
- Assist employees with day-to-day administrative requirements.
- Coordinate with HR and Admin teams for employee-related activities.
- Support new-employee joining formalities such as seating, access coordination, and basic office orientation.
- Maintain records related to attendance, access cards, or other administrative matters as assigned.
5. Meeting & Conference Coordination
- Schedule and coordinate meeting rooms.
- Ensure meeting rooms are clean and ready before meetings.
- Arrange refreshments and other requirements for clients or management meetings.
- Coordinate visitor parking and access when required.
6. Coordination With Internal Teams
A Front Office Executive in an IT company may regularly coordinate with:
- HR – interviews, joining formalities, employee support
- IT/Helpdesk – computers, access cards, phones, meeting-room equipment
- Facilities/Admin – housekeeping, maintenance, seating, office supplies
- Security – visitor access and employee entry/exit
- Finance/Procurement – invoices, courier bills, office purchases
- Management – meetings, visitors, appointments, and administrative support
7. Candidate & Interview Coordination
- Welcome candidates attending interviews.
- Inform HR when candidates arrive.
- Coordinate interview rooms and schedules.
- Maintain candidate visit records.
- Provide basic information about the company and office.
8. Office & Facilities Coordination
- Monitor reception and common areas.
- Report maintenance, housekeeping, electrical, or facility issues.
- Coordinate with vendors and service providers.
- Monitor office stationery and other consumables.
- Assist during office events, celebrations, training sessions, and company meetings.
9. Professional & Confidential Conduct
- Maintain confidentiality of company, employee, and visitor information.
- Follow company security and visitor-management procedures.
- Maintain professional communication and appearance.
- Handle difficult visitors or queries calmly and escalate issues when necessary.
