Job Title: Front Desk & Administration Executive
Location: Goregaon East, Mumbai | Reports to: Directors
Role Summary:
The first point of contact for clients, visitors, and business partners at Tailwind's office, responsible for front desk management and day-to-day office administration. The role requires a presentable, well-organised individual comfortable in a professional financial services environment.
Key Responsibilities:
Front Desk & Visitor Management
- Manage the reception desk; greet and assist all visitors, clients, and fund house representatives
- Maintain the visitor register and coordinate visitor movement with relevant team members
- Answer, screen, and route incoming calls on the board line
- Manage meeting room bookings; ensure conference rooms are presentable and arrange refreshments for client meetings
Office Administration
- Coordinate with admin and housekeeping staff for daily office upkeep
- Maintain pantry stock, stationery, and general office inventory; raise replenishment requests before stock-outs
- Log all inward and outward couriers, including client documents, application forms, and cheques, with a proper register
- Maintain files for vendor bills, utility bills, and administrative records; forward bills to accounts on schedule
Facilities & Vendor Coordination
- Coordinate repairs and maintenance across IT, furniture and fixtures, air conditioning, and electrical, with follow-up till closure
- Liaise with vendors, building management, and society office for facility matters
- Track AMC renewals for office equipment and services
Petty Cash & Miscellaneous
- Maintain petty cash with a voucher system and submit weekly reconciliation to management
- Handle stationery purchases, courier bookings, and other ad-hoc administrative tasks
Requirements:
- Graduate in any discipline; 1–4 years of front desk or office administration experience (financial services, hospitality, or corporate office preferred)
- Fluent in English and Hindi; polished communication and professional presentation
- Working knowledge of MS Excel/Word and email; comfortable maintaining registers and simple trackers
- Organised, punctual, and discreet — the role involves handling confidential client documents
Pay: ₹9,821.14 - ₹27,615.73 per month
